Division: Public Works Reports to: Division Director Worksite: Facility Center/DPW program offices Work Hours: M-F, 8:00am to 4:30pm LLBO Status: Non-exempt Safety Sensitive: No License/Certification Requirements: Valid MN Drivers License, current insurance, and/or is insurable. Summary: Provides oversight with daily accounts payable (AP) duties, program accounting, budget, reconciling billing/revenue with program reports. Responsible for performing administrative, accounting, grant, and budget duties in an office setting. Assists Division Director by acting as a liaison for the Program Managers and ensuring proper purchasing and accounts payable processes are adhered to. Oversee all departments in Division Director absence. Education Requirements and Experience: A.A degree in the field of accounting and Budget management. 5 years or more of experience in the Public Works Field. Supervisory Duties: Oversight of the Programs finances and daily operations. Duties/Responsibilities: Develops and maintains employee files under the Division Director. Complete monthly, quarterly, and annual reporting. Ensure monthly and year-end close-out and reconciliation with revenue billing. Knowledge of budgets, budget revisions, and any related budget duties as needed. Overseeing the creation and entering journal entries for health programs as needed. Knowledge of AP invoices and purchase requisitions into our New World Accounting system and all duties required for the process. Ensure accounts are receiving appropriate payments/closeouts by maintaining vendor information and dealing with vendors as needed to reconcile AP accounts. Overseeing budgets and program objective compliance. Performs a variety of routine typing assignments, enter data, print reports, and/or any other material if needed. Establishes and maintains, processes, and/or updates, files, records, and or other documents as asked, develops internal policies and procedures the finance team adheres to. Attend and/or lead all mandatory meetings and trainings with programs as required or necessary. Maintain confidentiality and professional ethics at all times. Understanding and sensitivity to Native American culture. Adhere to policies governing staff conduct. All other related duties as assigned, such as take on responsibilities when Division Director is unavailable.
