Job Title: Bookkeeper Department:Police Reports to: Chief Of Police Job
Summary:The Bookkeeper will be responsible for managing financial
records, tracking employee time and attendance, processing payroll, and
maintaining accurate budget records. This role requires a meticulous
approach to record-keeping and a strong understanding of financial
processes, including payroll, budget management, and compliance with
union contracts. Duties/Responsibilities: ? Attendance and Payroll
Management: o Post attendance from daily rosters and maintain records of
employee personal time. o Post overtime, grant, and court slips to
individual accounts and track overtime expenses. o Manage records for
injured on-duty personnel, military leave, and part-time
clerks/dispatchers. o Ensure accurate tracking and payment of part-time
hours and contractual raises for union employees. ? Financial Record
Keeping: o Track grant funds spent on personnel and expenses. o Assemble
payroll data for biweekly processing and balance payroll records. o
Maintain and frequently update the personnel budget. o Prepare yearly
fiscal budgets and adjust personal time, vacation time, and longevity as
needed. ? Administrative Tasks: o Complete employment verification forms
and various departmental and external forms. o Respond to phone calls
and emails regarding personnel issues. o Handle paperwork for new hires,
retirements, and resignations, including buybacks for retirees. ? Budget
and Expense Management: o Process requisitions for incoming invoices and
quotes, maintain expense budgets, and balance periodically. o Request
quotes for office supplies and other necessary items. o Monitor and
track expenditures as the fiscal year progresses to ensure budgetary
compliance. ? Coordination and Communication: o Work with outside
agencies on task force-related paperwork and monthly billing for task
force officers. o Fulfill requests for assistance or research as needed
by the Chief or other department leaders. Required Skills/Abilities: ?
Proven experience in bookkeeping or a related financial role. ? Strong
proficiency with accounting software and Microsoft Office Suite (Excel,
Word, Outlook). ? Excellent organizational skills and attention to
detail. ? Ability to manage multiple tasks and priorities efficiently. ?
Strong communication skills, both written and verbal. ? Knowledge of
union contracts and payroll procedures is a plus.: Education,
Certification, Licensure and Experience: ? High school diploma or
equivalent ? Proven experience in bookkeeping or a related financial
role. Salary/Pay rate: $30.3725 (minimum) up to $ 32.4795 (maximum)
