Overview
The Division of Continuing Studies (DoCS) is the central continuing education unit at Rutgers University. DoCS is a university-wide division at Rutgers University that includes over 125 employees in 14 distinct units at over a dozen locations, that coordinate hundreds of credit and non-credit programs, enrolling thousands of participants, reaching audiences from youth to retirees and providing various support services across the University. Our educational services include a range of services that rely on state-of-the-art technologies.
Information Technology at Continuing Studies, a unit of the Division of Continuing Studies, provides comprehensive IT solutions for university continuing studies units and university academic departments.
Posting Summary
Rutgers, The State University of New Jersey is seeking an Operations Assistant for The Division of Continuing Studies Operations.Among the key duties of the position are the following:
  • Ensures that instructional facilities meet the specific needs of instructors, participants, and DoCS staff.
  • Implements room setup and breakdown according to the instructional teams requirements and ensures the reserved space is cleaned after each program.
  • Removes trash and cleans surfaces to prepare the facility for the next scheduled program in the absence of custodial services.
  • Assists with essential building maintenance needs.
  • Proactively identifies and troubleshoots maintenance concerns and works with the Operations team on pending facility needs.
  • Serves as the on-site AV coordinator (Level 1 support) and develops operational-level proficiency with AV hardware and systems in the facility.
  • Arrives at least 30 minutes before the earliest participant arrival time, including scheduled office hours or pre-class activities.
  • Develops proficiency in operational-level emergency procedures and reports responsibilities. This may include responding to fire emergencies, weather disasters, active shooter situations, medical emergencies, etc.
  • Solves routine and non-routine program needs for students, instructors, and guests.
  • Maintains a professional, friendly, and flexible demeanor when representing DoCS.
  • Performs other duties as assigned by management.

Qualifications

Minimum Education and Experience
  • High School diploma or equivalent, and/or up to 4 years of relevant office, clerical, bookkeeping, library assistant or related experience.
Certifications/Licenses
  • A valid drivers license would be required for this position; Use of personal vehicle in order to travel for business demands.
Preferred Qualifications
  • Strong organizational skills.
  • Customer-focused mindset.
  • Previous experience in facility maintenance or related fields.
Required Knowledge, Skills, and Abilities
Equipment Utilized
Physical Demands and Work Environment
  • Ability to lift and move objects up to 50 pounds, like chairs and tables.
  • Ability to stand, walk, and bend for extended durations during program hours.
  • Varying hours depending on scheduled programs and facility needs, including weeknights and weekend shifts, with no guaranteed fixed weekly schedule.
