Description

Job Purpose: This position involves providing direct representative payee services in a psychosocial format and managing/overseeing the Whole Health Clinical Group (WHCG) representative payee operations. This position is responsible for client trust funds, including receipt processing, check preparation, distribution of consumers’ funds as appropriate, bill payment, and financial reports.

Essential Job Functions:

Receive and process referrals for representative payee services. This includes setting up a trust account within FMS, managing daily consumer files, and completing all necessary paperwork.

Receive deposits from the Social Security Administration or deposits from other vendors (e.g., family, work, refunds, etc.). Verify client trust check control deposits, assess for accuracy, and post income into consumer trust accounts in FMS.

Receive and review check requests and invoices for appropriateness and compliance with check request policies. Determine if payment can be made in accordance with funds available in a trust account and coordinate with CM if funds are not adequate or in line with the established budget.

Process checks using FMS software and manage payments for financial obligations.

Maintain files for disbursements and related supporting documentation.

Upload pending positive paycheck files to financial institutions to release checks for distribution. Limit the frequency of “exception reports”.

Meet with consumers and their support (CM’s, family, etc.) to establish budgets and financial plans, as needed.

Provide psychosocial rehabilitative services for assigned clients; document clinical files for all client contacts; consult with clinical staff on concerns and client needs.

Works as part of a team to provide a treatment program for clients and acts as an advocate with appropriate agencies for individual clients.

Monitors client activities and facility environment; helps to create a safe and therapeutic environment for clients; follows established safe practices; protects clients from personal injury; follows safety protocols and calls for assistance as required.

Complete all necessary reports to the Social Security Administration, My Home, or other appropriate parties in a timely fashion.

Work closely with Winged Victory staff to ensure that consumers’ benefits remain in pay at all possible times.

Assist with other various forms of agency Accounts Receivable functions.

Attends and participates in staff meetings, in-service training seminars, and conferences as required.

Works in partnership with the quality department to develop appropriate measures to support program outcomes.

Participates in department quality planning activities (e.g., continuous improvement, Logic models, performance metrics, etc.)

Other duties as assigned.

Qualifications

Required Education, Experience, Certifications, Licensure and Credentials:

Minimum Required Education: Associate degree in a relevant mental health field. Bachelor’s degree preferred.

Minimum Required Experience : Minimum of one year’s experience in bookkeeping or accounting functions. Knowledge of relevant bookkeeping and accounting principles. Good math skills with a high degree of accuracy. Experience in psychosocial rehabilitative services, clinical files, and client support is preferred.

Required License – Certification – Registration : Motor vehicle record acceptable to program and/ or contractual requirements. A valid Wisconsin drivers license and automobile insurance with minimum limits of $50,000/$100,000 bodily injury and $10,000 property damage”.

Physical Requirements, Visual Acuity, and Work Conditions:

Physical Requirements :Occasionally, must be able to push/pull/lift/move objects weighing at least 20 pounds.

Visual Acuity: The worker must have close visual acuity to perform activities such as preparing and analyzing data and figures; transcribing; viewing a computer terminal.

Working Conditions : This position frequently works in a fast-paced office environment and must use office equipment, including a personal computer, fax machine, and office copier.

Work hours will generally be during regular business hours and average at least 40 hours a week.
