News Coordinator

Job Description Summary:
The Hemlock News Coordinator is responsible for the monthly Hemlock News, in print and online. This position requires the ability to communicate with people efficiently and courteously, many times requiring more than average patience and understanding. As a member of the Communications Department, this position helps to provide better and timely information to the HFCA membership. This position works closely with membership.
Essential Functions of the Job:
Work with and direct staff in the following areas:
Hemlock News
– Create and finalize the Hemlock News editorial each month for the Hemlock News Editor.
– Write articles to highlight clubs, groups, take photographs of events around the community, and write captions for each event.
– Coordinate promotions in Hemlock News for internal house ads for Clubs & Groups and many different departments and staff within the association.
– Keep a detailed list of house ads, Recreations ads, community events for Recreation and Cultural Arts to send to the Editor to be published in the community calendar sections of the paper.
– Proofread all versions of the Hemlock News and work closely with Hemlock News Editor and other HFCA and Communications Staff to make sure corrections are made.
– Communicate with HFCA Staff, Members of the Association, as well as the Clubs and Groups of HFCA, to make sure all information is accurate before going to press.
– Create and publish a monthly newsletter for the Hemlock Newspaper via eblast, as well as posting it on social media, highlighting important information for the membership such as, articles, house ads, and directly linking them in the eblast.
– Work with the printer, driver, Mail Room, and HFCA Accounting Department to ensure a smooth and timely delivery of the Hemlock News.
– Deliver paper to various locations around Hemlock and make sure they are kept in stock. Locations include the Administration Office, Mail Room, Steer Barn Clubhouse, Public Safety, and the Hemlock Farms Library. As well as Grandma Goldsacks Bakery and Berkshire Hathaway Realtors that are both located outside the gate in the gateway building, and any other local businesses within a two-mile radius that may be a good fit for distribution at the time of publication.
– Email deadline dates and reminder emails to HFCA staff and club/groups for submission content for the monthly paper.
– Send labels the Monday after OPPI meetings to the printer.
– Edit articles and other newspaper submissions (excluding Letters to the Editor) as they are received, prior to sending them to the editor for layout and review.
– Communicate to management when the Hemlock News is completed and ready to be sent to the membership and published on the website through Wix.
– Bring new ideas and content to the newspaper each month while also providing required information as well as requests from staff, clubs/groups and members.
– Stay up-to-date on the Hemlock News opt-outs on Jotform and the returned address slips from the Post Office on an Excel sheet and use ABDI to update member status.
– Host monthly OPPI Committee and Subcommittee meetings to represent the Communications Department providing the staff liaison report and serve as the liaison between staff, committees, and management. Keep detailed notes of the meeting to share with management and the Communications team.
– Keep an organized evergreen monthly projection plan for the newspaper for each calendar year to make sure required information is in the paper when needed.
– Keep track of important content for the Association i.e. Employee Recognition, Caught in the Acts, Employee of the Month, and Employee of the Year.
Communications
– Take photo and video content to post on various social media platforms using Canva, Instagram, Facebook, YouTube and other digital media tools as needed with the rest of the Communications team.
– Post content on social media and the website/app, as needed, to assist the Communications Department.
– Update monitors and cable channel 901 with the latest flyers, house ads and promotional material weekly.
– Create new ideas to increase the number of members who prefer to receive their communication from the Association digitally and improve digital engagement on the website/app and official HFCA social media platforms.
Skills:
– Knowledge of office equipment and HFCA policies.
– Ability to work independently and effectively under pressure and meet deadlines.
– Ability to take and transcribe notes.
– Skill in verbal and written expression.
– Ability to relate to and work with employees and Committee Members.
– Knowledge of proofreading with exceptional attention to detail in terms of grammar and content.
– Knowledge of computer Microsoft applications.
– Knowledge of marketing skills is preferred.
Work Environment:
Office setting, outdoors, and at events
