Operations Coordinator
SALARY: $50,551.04 – $57,010.16
LOCATION: Lynnwood, Washington
DESCRIPTION:
Reporting to the Executive Director and partnering with the staff and the Foundation and College teams, the Operations Coordinator provides professional- and clerical-level proactive support to the Foundation Executive Director. This individual also works with management in meeting the needs of the Board of Directors. The range of duties includes managing calendars; meeting scheduling and preparation; drafting correspondence, minutes, reports, and donor relations materials; supporting marketing communications, and coordinating and representing the Foundation at special events.
Responsibilities include, but are not limited to:
Executive Support:
Schedules and supports Board and committee meetings as well as a range of other periodic meetings, including identifying available meeting times among participants, developing or working with the Executive Director to set agendas and meeting materials, preparing presentations, taking and drafting timely final meeting minutes, arranging refreshments and room set-up for meetings, and assuring that all meeting needs are met.
Proactively serves as a partner and team member to the Executive Director and other executive team members, including managing the calendar, anticipating needs in terms of scheduled meetings and significant projects, ensuring that priority matters are brought to attention for appropriate action, managing working files, and taking the initiative to understand and prepare the Executive Director to meet daily assignments.
Schedules and, as needed, prepares for meetings with donors/prospective donors, alums, community and business leaders, campus leaders, and others involved with the Foundations and the Colleges missions. Attend such meetings as appropriate to participate in project/event development and execution, take notes/minutes, ensure meeting needs are met, etc.
Prepares monthly activity reports for the College Board of Trustees and Foundation Board, including soliciting input from staff colleagues and editing and refining report information to highlight/promote the Foundations accomplishments.
Provides administrative support for the Foundation Board of Directors and Committee by transcribing minutes, distributing agendas, scheduling meeting rooms, etc.
Composes, edits, and assembles various correspondence and other documents.
Maintains the corporations legal documents, such as Articles of Incorporation, Bylaws, Board, and committee minutes.
