What Youll Do

 

YWCA Passage Point is supportive housing with services designed to assist residents who are transitioning from incarceration or working with child welfare. All residents are committed to working toward housing stability and reunification with their children.

 

The Operations Supervisor provides operational and administrative support for the Passage Point front desk staff, van drivers, security, and on-call staff. This position has a social justice component that will require critical thinking around how external systems imp work that we are doing through the lens of racism and intersections with poverty. Knowing the core principals of antiracism and grounding principles in everyday work, as well as working well in non-white environments and championing anti-racism policy, are required job skill values. ### Responsibilities

Responsible for hiring and terminations of front desk staff, van drivers, security staff and on-call staff. This includes following all YWCA hiring and onboarding procedures

Supervises all front desk staff, van drivers, security staff and on-call staff.

Annual evaluations of staff; staff sup and/or conflict management; staff scheduling; and working with staff to attend all RSJ and professional development trainings

Pays Department and Program bills: prepares check requests and keeps financial documentation, all check requests will be approve Program Manager II and/or Program Director

Maintains Passage Point administrative records for front desk, van drivers, security and on-call staff

Assists in tracking operational and program expenses and other fiscal records for front desk, van drivers, security and on-call staff.

Monitors and maintains inventory of office supplies and tracks expenses for front desk, van drivers, security and on-call staff

Manages office vendor contracts, including copier, phone system and postage machines

Calls for maintenance and repair or replacement of office equipment in consultation with the Program Manager II.

Maintains filing systems and performs record-keeping duties for check requests and time sheets for front desk, van drivers, security call staff

Provides support to the Administrative Analyst in the preparation of quarterly billing reports and invoices required paperwork

Manages the overall office functionality, flow and organization

Answers telephone, responds to requests for information and resources, makes referrals to outside resources, provides customer se office guests

Performs general office duties including filing, faxing, copying and mailings

Track, schedule, and follow up with intake appointments in conjunction with the Program Manager

Composes correspondence and other written materials as assi
