Overview
The Athletics Department is searching for a Business Assistant II to join our dynamic team. The Business Assistant II plays a crucial role in supporting the financial and administrative functions of the department, ensuring compliance with policies, and contributing to efficient operations. Incumbent will initiate, complete, and facilitate financial, personnel, travel, and other functions as assigned. Responsible to provide primary contact for the Athletics Department.

The position requires organizational skills and needs to be able to work independently as well as be a team player.

Responsibilities
Financial Administration:

Process purchase orders, bids, and payments of invoices.
Posting scholarships and balancing student-athletes accounts
Monitor monthly budgets and financial reports.
Prepare bills, statements, and financial reconciliations.
Support budgeting and forecasting processes.
Assist with financial audits and compliance.
Personnel and Administrative Support:

Manage AggieTime system for tracking employee hours and payroll.
Facilitate hiring processes for student and volunteer employees.
Develop and maintain record-keeping systems and databases.
Coordinate administrative tasks and support daily operations.
Maintain office supplies and equipment.
Organize and maintain files and records.
Handle incoming calls and correspondence.
Serve as back-up to Travel Coordinator.
Policy Compliance and Support:

Support Finance Officer in ensuring policy compliance.
Assist in developing and implementing financial policies.
Ensure compliance with University, Mountain West, and NCAA policies.
Develop financial policies and procedures.

Qualifications
Minimum Qualifications:

Four years of relevant work experience or a business/finance bachelors degree (or equivalent).
Strong work ethic and ability to work in a fast-paced environment.
Excellent customer service and interpersonal skills.
Proficiency in Microsoft Office (Excel, Outlook, Word) and other applications.
Experience with financial record-keeping and budget monitoring.
Organizational skills with attention to detail.
Ability to manage multiple responsibilities and deadlines.
Ability to prioritize tasks and work independently.
Attention to detail and problem-solving skills.
Preferred Qualifications:

Knowledge of University policies and procedures.
