Job Purpose:
Purchasing Assistants work to coordinate the purchase of products and materials on behalf of an organization. They conduct market research to determine where to find the best quality materials and products for the best prices. They build and maintain relationships with vendors in order to ensure their organization always has a source for necessary products. Purchasing Assistants also handle administrative duties relating to purchases, including tracking orders and ensuring records are kept up to date.

Key Job Elements:
• Monitor stock levels and identify purchasing needs;
• Research potential vendors;
• Track orders and ensure timely delivery;
• Update internal databases with order details (dates, vendors, quantities, discounts);
• Maintain updated records of invoices and contracts;
• Follow up with suppliers, as needed, to confirm or change orders;
• Liaise with warehouse staff to ensure all products arrive in good condition;
• Compare product deliveries with issued purchase orders and reconcile discrepancies;
• Prepare cost analyses;
• Prepare various daily, weekly and monthly reports;
• Prepare for and conduct End of Month activities.
Qualifications and Experience:
• Skill Level III – 2-5 years of experience or Specific.
