EquipmentShare is Hiring a Operations Documentation Specialist.
EquipmentShare is seeking a Operations Documentation Specialist to provide critical support to the Strategic Finance Team by overseeing various documentation processes, preparing and ensuring accuracy in lease agreements, and generating recurring and ad hoc reports. This position will interface with the client, Finance Manager, Director of Strategic Finance, Fleet Operations Manager, and Legal Team for all matters related to the due diligence, reviewing, and documentation of equipment lease and loan agreements. The role requires strong organizational skills, attention to detail, and the ability to communicate clearly and effectively.
Primary Responsibilities
Work with the Finance Manager to determine, obtain and analyze required due diligence items including, but not limited to:
UCC searches
Management Agreements
Amendments
Equipment Leases/Loans
Proof of insurance
Entity Corporate documents
Invoices/Proof of Payment
MSO/Titles
Ensures that necessary items are properly reviewed and documented
Coordinate and perform payouts and payment reconciliations
Assist in the preparation of monthly financial reports
Provide support on ad hoc requests and reports
Maintain shared team document systems
Perform data entry and verification
Facilitate audits by keeping the team on track with assignments, managing documentation, uploading files, and being the liaison between EquipmentShare and external Audit Teams promptly
Track financial contracts, schedules, assignments, and reports
Provide support for special projects for the Director of Strategic Finance and work seamlessly with other departments across the organization
Manage concurrent projects of competing priority levels and display a strong sense of follow-through with all tasks
Take proactive steps to ensure that tasks are completed in a timely manner
Clearly communicate and relay important information and critical documents promptly

Skills & Qualifications
Minimum Knowledge, Skills, and Abilities:
Excellent interpersonal and communication skills to effectively work across many different departments within EquipmentShare, as well as with external teams
Strong organizational and time-management skills
Proficiency with all Microsoft Office products
Keen attention to detail
Bachelor’s degree
Minimum 3 years of experience in finance or administrative duties
Preferred Knowledge, Skills, and Abilities:
Bachelor’s degree in Business (e.g. Business Administration, Finance, Accounting) or equivalent work experience.
3-5 years of experience with lease/loan documentation with demonstrated expertise in due diligence
Proficient knowledge of lease/loan structures and documentation needs/requirements
Knowledge of equipment lease/loan documentation, evaluation/review/interpretation of UCC searches
Ability to work independently, with minimal supervision
