The Veterinary Scheduling Coordinator is a position at the Animal Health Institute – Companion Animal Clinic. The Veterinary Scheduling Coordinator has the primary duties of scheduling special procedures and surgical procedures, communicating with the referring veterinarians, and providing direct service to clients. This person will function as an integral member of the animal health care team and must have strong organizational and communications skills (telephone and in-person).
Essential Duties and Responsibilities
Schedule procedures as indicated/directed by the clinicians
Follow patient care protocols to ensure adequate staffing
Coordinate with clinicians to ensure scheduling software accurately reflects clinicians availability
Triage urgent and emergent cases via telephone and determine best appointment time
Review referring veterinarian letters and ensure they are sent in a timely manner
Review and create procedure cost estimates based on clinician and technical staff input
Monitor physical and medical conditions of hospitalized patients via treatment boards
Communicate with owners regarding the patient’s condition as directed by the clinician
Record/document patient communication notes appropriately into electronic medical record
Receive and record prescription refill requests
Review medical records for completeness and address with the appropriate personnel when not completed
Follow appropriate protocols in scheduling patients with infectious or contagious diseases
Must treat all employees, students, and clients with a high level of respect and follow customer service guidelines and protocols of the MWU and the AHI-CAC
Other duties may be assigned
General Knowledge
Know the range of services the practice provides and the species it serves
Be reasonably familiar with special procedures and surgical procedures
Be reasonably familiar with what would constitute an emergency
Know and use standard medical and business abbreviations
Use proper medical terminology and spelling when speaking and writing
Be familiar with infectious diseases, including their prevention and steps to reduce or eliminate transmission; know the most common zoonotic diseases

Must exhibit good technical skill knowledge.

Education and/or Experience High school diploma or GED is required and 5 years minimum experience working in an animal hospital or veterinary clinic setting OR CVT (must be certified in the State of Arizona) with a minimum of 2 years’ experience working in an animal hospital or veterinary clinic setting. Experience working in an animal care environment with a high focus on patient care and the ability to maintain a professional demeanor in a fast paced environment, be detail oriented, multitask and promote a welcoming atmosphere is essential.
Computer Skills The individual must have the ability to learn the StringSoft Veterinary management system, and have proficiency in MS Office (Word, Excel, and Outlook).

Assist in lifting patients weighing more than 40 pounds.
