HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
The Administrative Assistant III (AA III) will provide a full range of recruitment support to the office throughout the hiring process and work closely with management, business partners, and recruiters as applicants are screened and processed for COE to EOD into the Sponsor Directorate
The AA will interact with mid and senior level personnel on a daily basis
The AA will interact with the sponsor and a large group of external applicants on a daily basis, providing information and updates as required
Attention to detail, excellent judgement, team player working with a team of contractors and sponsor staff, excellent interpersonal/communication/customer service skills, ability to manage competing priorities of customer groups and applicants as well as the capability/willingness to take on additional duties as mission dictates is important
The AA must be comfortable conducting database searches, completing data entry, and performing other tasks using various databases/programs/applications and equipment including but not limited to COGNOS, Sponsor Travel Systems, Sponsor Hiring Systems, Basic knowledge of SharePoint, Excel, Word, Internet, scanner, telephone (Including sponsor specific phone systems), and following any Sponsor Organization related guidance in place for recruiting
The Administrative Assistant III (AA III) must process applicants on a daily basis; using electronic and paper workflow systems concurrently to advance applicants; must be able to work under specific deadlines and be responsive to changing levels of work depending on the number of applicants that come into the system on any particular day; must accurately convey results to ensure smooth workflow throughout entire process of hiring officers; must accurately reflect the status of an applicant by inputting milestones into the applicants electronic record
Milestone reporting results for the AA scheduling and applicant completing numerous onboarding requirements including medical and security screening, ensuring SF-86 and other security paperwork is completed in its entirety as well as scheduling ofrelevant capability testing appointments
The Administrative Assistant III (AA III) is required to have excellent verbal and written communication skills
The AA must be able to think critically to ensure efficient review of written application materials for applicants
May communicate with representatives from other Sponsor offices regarding processing of applicants
Conversations must be held in a professional manner and with an honest customer service attitude to portray a positive impression
AA must be diligent in their efforts to maintain contact with the applicants and ensure their applicant package is up to date
The AA will be charged with regularly reviewing and updated SOPs to ensure they reflect current processes and updates are made within two weeks of a change occurring
Accountability for tracking workflow and quality of work is critical; will be responsible for generating work production statistics
Must be able to work as a part of an overall quality assurance team in the hiring process
AAs will be assigned their own caseload of applicants to manage but will be expected to serve as a backup/surge support to other applicant processors
AA will need to be proactive and plan their leave accordingly to processing is not negatively impacted by their absence
Providing statuses to other team members during weekly meetings
Must be willing to train or mentor others in areas they have achieved proficiency in
The Administrative Assistant III (AA III) will create and submit office-specific travel requests in the Sponsor Travel database for potential candidates to travel from their homes to the sponsor location in Chantilly.
The office is comprised of eight team members located in Chantilly, VA. The duties of the AA are transactional in nature and require discretion
WHAT YOULL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph security clearance
The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience
The office hours are from 9am-3pm, flex schedule may be considered on a case-by-case basis
Candidate must be able to operate in a team environment as well as successfully work on their own
This position is on customer site

The likely hourly rate for this position is between $27.82 – $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
