The Materials Receiving Coordinator serves University Stores which operates as the procurement and warehousing arm of the Office of Facility Services. University Stores operates a distribution facility located adjacent to the School of Veterinary Medicine on Skip Bertman Drive. University Stores stocks numerous materials primarily consisting of maintenance, repair and operational items. The Materials Receiving Coordinator provides logistical and labor support for the receiving and stocking of materials required to fulfill customer orders. The Materials Receiving Coordinator is responsible for the successful operation of all aspects of the receiving operations of the University Stores logistics group.

Job Duties:

Receiving – Receives all inbound shipments through the University Stores warehouse. Verifies accuracy of shipments against packing slips and purchase orders. Enters receipts for all purchases orders onto the FAMIS system. Can work independently with suppliers to resolve shipment discrepancies. Collects and organizes documentation of purchase orders and receipts for supplier settlement process. – 60%

Materials Handling – Prepares and stages all stock material items after receipt, ensuring that quantities and location codes are correct. Utilizes materials handling equipment, forklifts and pallet jacks as needed for unloading and staging of bulk materials. – 20%

General Warehouse Operations – Monitors general warehouse conditions and locations of stock for both safety and accuracy. May relocate or rearrange stock items as necessary. Shares responsibility for general warehouse cleanliness/safety with other warehouse staff members. Provides back-up to the functions of other warehouse staff, primarily stocking and will-call, as needed to meet peak demands. -10%

Customer Service – Serves as warehouse operations vendor point of contact for discrepancy resolution. Serves as a point of contact for University Stores customers. Works directly with customers to resolve receiving issues. Other duties as assigned. -10%

Special or Physical Qualifications:

Due to the nature of this position and/or position responsibilities this position shall be subject to drug/alcohol testing in accordance with University Policy Statement 67.

In accordance with PS-18 this position maybe required to report or stay on campus in the event of emergency or closure.

Ability to work in all weather conditions. Overtime and Weekend Work. Ability to lift 50 pounds. Climb ladders. Ability to stoop, kneel, and bend for extended periods. Due to the positions physical requirements, a pre-employment physical examination will be required per FASOP: HR-04.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

One year of experience in which clerical work was a major duty

SUBSTITUTIONS:

Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for the required one year of experience.

College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.

NOTE:

Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.

NOTE: Any college hours or degree must be from an accredited college or university.

Examples of Work

Processes routine paperwork and/or enters data into a department log or database in the servicing of a client.

Prepares, indexes, and scans documents into imaging system; may ensure quality of scanned images.

Prepares requisitions for the purchase of supplies; may involve entering information into an automated system.

Receives, stores, and distributes supplies; maintains inventory of such.

Collects and prepares for processing time and attendance sheets for department or office.

Maintains departments records system, including filing and retrieving documents, researching files, etc.
