Description

Purpose:The front desk is vital in creating the best life for everyone by assisting the therapy staff to improve our clients functional levels.

Valuable Final Product:High volume of client appointments kept, translating to a high percentage of arrivals.

Subproduct:Create highly satisfied clients who complete their established plan of care and refer their family and friends to Believe Therapies by:

– Caring, empathetic communication on all company policies and procedures with clients/families to promote compliance with his/her established plan of care.
– Completing daily scheduling and reminder calls/texts
– Assisting in the education of client finances and collecting deductibles, co-payments, and co-insurance as appropriate
– Educating clients about their schedule and arriving on time to meet their plan of care confirming all appointments, rescheduling, tracking no-show and canceled appointments through creating make-up appointments, maintaining the sign in-out sheet, etc.
– Communicating with the therapy staff about same-day or last-minute schedule changes
– Ensuring the schedule is clean – minimized double bookings, evaluations, reevaluations, and progress notes are on evaluating therapists, type time is entered, holidays are re-scheduled, flex schedule is maintained, etc.).
– Establishing and/or maintaining clients chart (e.g., demographic information, contacts) and documents (drivers license, current insurance card, intake paperwork, financial agreements, medical record requests, work/school note, etc.) according to established procedures; scheduling appropriate workflows to update other staff of any changes (change of PCP (Primary Care Physician), change of insurance, etc.).
– Provide excellent customer service to all clients, including but not limited to professional and courteous greetings and verbal exchanges (phone and in person), assisting clients with all needs as appropriate, or transitioning clients to the appropriate staff member, and portraying the company in a positive manner with appropriate self-presentation and tidy workspace and waiting room/area.
– Maintaining the well-being and safety of the clients while they are in the waiting room.
– Keeping a record of all functions daily in a way that there is an electronic/paper trail for all production (e.g., workflows, tasks, sign-in sheets, EOD (End of Day), communication logs, email, etc.)
– Keeping track of all personal statistics and productivity and submitting them timely
– Weekly schedule clean-up
– All evaluating therapist have type time scheduled correctly
– Receiving positive parent questionnaires upon a yearly assessment
– Maintaining client confidentiality and following all HIPAA (Health Insurance Portability and Accountability Act) and company policies and procedures
– Maintaining the safety of clients and staff by following all cleaning policies and procedures
– Performing other duties as requested

Requirements

Skills, Duties, and Responsibilities:Must have a high school diploma or equivalent and maintain current vaccinations as required. Also, must have:

– MUST BE BILINGUAL- capable of translating medical terminology for Providers and Clients.

– The ability to participate in any task in line with Believe Therapies mission

The following is preferred but not required:

– Previous experience in a receptionist role
– Experience with scheduling for multiple providers, medical insurance, and authorization
– Basic understanding of computers and Microsoft Office applications.
