The Levy Company is currently hiring anContract Administratorto review, process, and monitor contract compliance. Act as a liaison between The Levy Company employees, customers, insurance representatives, and subcontractors to facilitate the resolution of contract requirements and insurance compliance issues.
Essential Functions may include, but are not limited to:
1. Review, prepare, and make recommendations for changes to contracts based on industry standards and prior contract reviews.
2. Act as the point of contact for company employees, customers, insurance representatives and subcontractors regarding contractual requirements and insurance compliance matters.
3. Ensure that signed contracts are communicated, documented and dispersed to all relevant parties.
4. Maintain existing permits, licenses, applications, and records to ensure compliance with project and business licensing requirements.
5. Coordinate with appropriate department personnel to fulfill all administrative contract requirements.
6. Assist the Director of Project Administration with establishing and following contract practices and procedures.
7. Maintain all job files with up-to-date contractual correspondence.
8. Ensure ongoing review of subcontractor and company insurance compliance for all open projects.
9. Coordinate with other departments to ensure all contract reporting requirements are submitted in a timely manner to appropriate internal and external parties.
10. Review subcontractor performance for certified payroll submissions and insurance compliance monthly and approve sub pays for payment.
11. Upon request of Project Management team, create work orders for subcontractors that comply with all contract requirements.
12. Manage subcontractor pre-qualification, onboarding and orientation process.
13. Manage pre-construction documentation for Project Management team ensuring compliance with all owner requirements.
14. Manage, track, and facilitate administrative closeout requirements per contract.
15. Track and maintain all right-of-way permits, contractor licenses, and contractor permits required to work in various municipalities.
16. Manage companys third party insurance tracking resource to ensure subcontractor insurance compliance.
Required Qualifications:
1. At least two (2) years of experience in a role with responsibility for contract compliance.
2. Bachelors degree in business or a related field. (Significant experience beyond that required may be considered in lieu of degree.)
Preferred Qualifications:
1. Bilingual (Spanish-English).
2. Experience with Certified payroll reporting.
3. Experience using LCP Tracker.
4. Experience using Diversity Management System (DMS).
5. Experience working with TxDOT contract processes and procedures.
Required Competencies:
1. In-depth knowledge of contract terms/conditions.
2. Understanding of processes and procedures regarding contract compliance and operations.
3. Ability to effectively coordinate multiple activities and prioritize work to meet deadlines.
4. Proficiency in using MS Outlook, Word, and Excel.
5. Ability to communicate proficiently with customers, insurance representatives, subcontractors, and Levy Company management and employees.
6. Ability to comprehend and follow oral and written instructions.
7. Ability to complete work accurately, efficiently, and timely under minimal supervision.
Working Environment:
Work is performed primarily indoors, sitting or standing and using a computer or other office equipment for long periods of time.
Physical Demands:
– Sitting for up to eight hours per day.
– Lifting and / or exerting of force up to 20 pounds occasionally and 10 pounds frequently.
– Frequent walking, bending, squatting, stooping, twisting, kneeling, reach ng, and crouching.
– Frequent climbing and standing on step ladder.
– Visual acuity to read printed and electronic documents.
– Hearing capacity to receive, perceive, and react to common office environment noises.
– Manual dexterity to manipulate, handle, and feel.
