Office Manager

GENERAL DESCRIPTION:
The Office Managers activities are supervised by the Commissioner of Precinct 2. The Office managers responsibilities include
managing the day-to-day operations of the office to ensure it runs smoothly.
SPECIFIC RESPONSIBILITIES:
Answers telephone inquiries.
Attends to walk-in information seekers.
Maintaining office supplies and equipment, and ordering stationery and IT equipment
Coordinating appointments, meetings, and events, and booking travel
Understanding of payroll, timesheets for the department.
Handling correspondence and complaints, and communicating with employees, customers, and visitors
Managing the office budget, recording office expenditure, and processing invoices
Reviewing and updating health and safety policies, and ensuring compliance with data protection laws
Using software such as email, spreadsheets, and databases, and maintaining the IT infrastructure
Organizing events and conferences
Work closely with the Commissioner to improve services
Performs related work as required. (Position may not include all the duties listed, nor do the examples cover all the
duties, which may be performed or supervised.)
WORK EXPERIENCE REQUIREMENTS:
Excellent organizational skills. Knowledge of word processing, computers, fax machines, copy machines, calculators and other office
machinery; Ability to perform simple legal research. Fluency in the Spanish language required. Dependable and punctual. self-confident
and an aggressive desire to learn.
EDUCATION REQUIREMENTS:
High School Diploma or GED (General Equivalency Diploma), college or relevant experience.
PHYSICAL REQUIREMENTS:
Lifting: Able to lift 40 lbs. and bend and lift in order to move files and exhibits.
Travel: Local travel
