Administrative Coordinator – Logistics/Materials Management

In this role you will

be responsible for the administrative duties and analytical support of the

Logistics Materials Management Departments. This position will be heavily

focused on data gathering, verifying and completing month end reporting, submitting

billing recharges, and financial reporting. As an Admin Coordinator, you will also be an assistant to the Director and Assistant Directors in the department, supporting their calendars, meeting coordination, and arranging travel. This position will primarily work in Westwood, but also provides multi-site

coverage support as needed and may be required to work at various department locations

between multiple facilities, including but not limited to Santa Monica or the Van Nuys Warehouse.

Other duties include but not

limited to:

Assisting with processing new employees and providing orientation support and monitoring competency tracking to ensure HR compliance

Submitting vendor access as required

Coordinating the scheduling of meetings and recording minutes

Preparing requisitions of purchase orders for supplies, equipment, and services.

Supporting and assisting management with various tasks and projects

Review, correct and recalculate invoices for accuracy and preparation for signature authorization

Salary

Range: $31.20 – 49.77 Hourly

Qualifications

At least 3 years of administrative support or equivalent experience.

Strong working knowledge of computer systems and data entry. Experience with Lawson and AIS preferred.

Excellent written and verbal communication skills.

Ability to adjust to changing priorities, frequent interruptions, deadlines, emergencies and heavy workload.

Excellent organization skills to prioritize multiple assignments and meet all deadlines.

Ability to establish and maintain positive working relationships with other departments, staff, patients, vendors, etc.

Demonstrates excellent communications with all levels of customers.

Ability to apply independent problem solving, knowing when to request assistance and when independent action is needed.

Ability to handle sensitive material and information with confidentiality and discretion.

Ability to attend all requested workshops/drills/classes in the department.

Ability to have flexibility in work schedules and locations as needed.
