Requirements for a Sales Assistant:

High School Diploma or equivalent.

Minimum of one year of related experience.

Competence with Microsoft WORD, EXCEL, and OUTLOOK.

Responsibilities for a Sales Assistant:

Responsible for facilitating the pre and post sales process, ensuring that all records and files are complete and updated, and the move-in process is timely and well-organized.

Assists with the collection of deposits and fees.

Establishes and processes prospect and resident files, paperwork, and move-in packets. Works with resident and family to ensure paperwork is completed and move-in is timely.

Notifies necessary staff of move-in or move-out. Checks Apartments for readiness. Maintains apartment inventory lists.

Enters residents into database.

Assists with special events to generate leads and prospects.

Process referrals as required. Processes contracts and move-in paperwork in a timely fashion.

Keeps ongoing inventory of all sales materials to ensure that an adequate supply is on hand at all times.

Responsible for the clerical functions of the sales office including maintains database, generates daily, weekly and monthly reports as directed. Handles assigned correspondence and sort and distributes mail.

Maintains a professional, inviting atmosphere in the sales office.

Assist in the completion of departmental activity point goal as required by the department director.

Responsible for assisting in ensuring the satisfaction of current and prospective residents. Assists with and conducts interviews, tours and phone calls and mailings.

Communicates effectively on the telephone and in person. Directs and/or processes incoming calls; may complete follow up procedures.

Reports problems or issues and assists in problem resolution as requested. Processes contracts and move-in paperwork in a timely fashion.

Operates all office equipment and supplies.

Responsible for backup receptionist/concierge function.
