Job Title: Deductions Analyst
Job Description
Determine the reason and status of open disputed transactions.
Research and coordinate with internal departments (Warranty, Returns, Etc.) to resolve the disputed items.
Work with customers to obtain the proper documentation needed to resolve and/or collect disputed transactions.
Identify trends, patterns, and concentrations of short payments and work with the appropriate departments to identify and address the root cause of the issue.
Champion process change improvements relating to short payment process flows in both credit and other departments as applicable.
Create and document processes and procedures relating to deductions and short payments for customers.
Identify deductions and short pays taken on customer accounts during the cash application process, and document reason for deduction / short pay.
Establish initial contact with customer, by phone or in writing, to determine the reason for any deduction or short pay if not adequately explained in the remittance advice, and create chargeback or write-off where appropriate.
Log and investigate deductions.
Use judgment to assign and track follow-up responsibility for resolving deductions to the appropriate party (Customer Service, Sales, Credit Rep, etc.)
Assure that correct entries are posted as required.
Maintain the proper storage of paper or electronic check copies, and computerized listings of accounts receivable, including trial balance, batch listing and quarterly audits, in accordance with Policy Guidelines.
Address and respond to customer inquiries regarding chargebacks as appropriate.
Skills & Qualifications
Associates degree in Business/Finance/Accounting
1 year/s of AR/Cash Application/Deduction/Disputes/Credit experience
Experience within Oracle or SAP would be a plus
