Judicial Assistant

GRANTSVILLE CITY CORPORATION

Under the direction of the Justice Court Judge, the Judicial Assistant performs a variety of complex clerical duties as required to assist the Judge in expediting all court processes including, but not limited to:

· Acts as primary in-court clerk for Criminal Hearings, Bench Trials, Small Claims Hearings, and Jury Trials. This includes entering minutes, recording hearings, running WEBEX, running PA system, scheduling Court, issuing and/or recalling warrants, making copies, processing paperwork, and answering questions from the Judge, Defendants, or attorneys.

· Answers questions from the public, defendants, law enforcement agencies, attorneys, and other interested parties that require judgment and knowledge of court policies, procedures, and laws.

· Prepares, processes, and maintains a large variety of court records.

· Maintains the court calendars and court dockets, assuring the Judge, City Attorney, Public Defender, Defendants, Defense Counsels, and public are aware of all court schedules.

· Coordinates the Bailiff schedule with the police department.

· Maintains liaison and communication with agencies associated with the criminal justice system such as police departments, city attorneys office, bail bondsman companies, public defenders offices, private attorneys, probation and treatment providers, jails, district courts, other justice courts, and city offices.

· Monitors Defendants compliance with Sentence and Judgment and notifies Judge and all applicable parties when Defendant is non-compliant.

· Assists members of the public with filing Small Claims cases, handles all in-court proceedings, and assist throughout the Small Claims process.

· Records and processes financial records including Finders Fees, Community Service and Treatment Credits, Trust accounts, collections, creation of fines and fees, etc.

· Maintains all Court tech information including WEBEX scheduling and hearings, Google Sheets, Court recordings, and information on Grantsville Citys website.

· Answers telephone calls and assists members of the public at the front counter. Handles and processes a large amount of email and mail.

· Completes ongoing training with the Administrative Office of the Courts to maintain certification.

MINIMUM QUALIFICATIONS

1. Education and Experience

A. High School Diploma or equivalent is required

AND

B. Two (2) years of verifiable office, administrative, or closely related job experience;

OR

C. A combination of education and experience.

PREFERENCE GIVEN TO EXPEREIENCE IN A COURT OR LEGAL SETTING including a working knowledge of court policies, legal terminology, CORIS, Workspace, Xchange, and UCJIS.

2. Knowledge, Skills, and Abilities

· Extensive computer skills to include: Gmail Applications, Word, WEBEX, and Excel as well as the ability to operate a fax machine, copy machine, telephone, and other office equipment as needed. Keyboarding speed at 50-60 wpm.

· Must have exceptional interpersonal skills that demonstrate respect, integrity, courtesy, and kindness towards fellow workers, customers, and the public. Work situations may be stressful at times.

· Ability to perform work with speed and accuracy while multi-tasking and working within strict time frames.

· Ability to communicate effectively both verbally and in writing.

· Ability to learn legal and court document formats.

· Ability to learn criminal and civil law as it applies to court processes.

· Must maintain professionalism in the Courtroom at all times.

· Must maintain confidentiality on sensitive matters.

· Pass a criminal background check.
