Chevron is accepting online applications for the position Administrative Assistant   through 10/29/2024 at 11:59 p.m. Pacific time.  

Provides dedicated administrative support to Managers and provides a variety of administrative support to multiple clients within the maintenance department including but not limited to calendar management, presentations, event/meeting planning coordination, invoice tracking and processing, computer and phone user management, mail distribution, coordinating office moves for teams, ordering of office supplies and file maintenance, catering while adhering to guidelines and working within a budget, etc.

Responsibilities for this position may include but are not limited to:

Proactively maintains calendar of two Managers including resolving conflicts, scheduling and document coordination.

Coordinates and facilitates logistics for LT meetings and team meetings including lunches and meeting rooms.

Tracks action items for the organization for completion and due dates.

Coordinates moves, space planning, furnishings, computer equipment, supplies, repairs, etc.

Work as a resource to the group for database and computer programs such as: Meridium, Microsoft Office – Word, Excel, PowerPoint, Outlook, Visio OERI, Metrics Dashboard

Manage group membership for accounts in the Identify and Access Management (IAM) portal.

Organizes meeting logistics, including scheduling, preparing agendas and meeting documents, tracking action items, and communicating with meeting attendees.

Maintain SharePoint and Intranet webpage for team.

Manages and maintains an up-to-date and organized electronic filing system and members (e.g. ITR’s, office supplies, shared folders.).

Maintain organization charts and team distribution lists.

Communicates effectively through telephone or written communication lines. Interacts with other managers in and out of the group on behalf of the Manager and provides support to visitors.

Manage tasks and work as the point of contact for any mail room needs for the group.

Assist with the on-boarding process for new employees and contractors.

Maintains a high degree of confidentiality and displays a high level of professionalism in interactions with others.

Demonstrates ability to multi-task, is proactive, and anticipates the requirements to follow through.

May provide back-up support for other administrative employees.

Required Qualifications:

High School Diploma or equivalent

Valid California driver license

Minimum of 3 years relevant administrative experience.

Demonstrated proficiency in the Microsoft Office Suite (Word, PowerPoint, Excel, Outlook and Teams)

​ Demonstrated ability to take initiative, prioritize and meet deadlines. Ability to multi-task, anticipate needs and requirements, and follow through.

Ability to effectively communicate (written and verbal) at all levels of the organization to convey ideas.

Strong organizational skills and attention to detail are crucial

Preferred Qualifications:

​Supported a high-level manager or a group of managers.

Some college or other training/certifications.

Ability to interface effectively with all levels of a diverse workforce.

Strong communication skills. Ability to communicate clearly and professionally, both internally and externally in a clear, concise, and effective manner.

Ability to plan, balance and multi-task job responsibilities based on business need; approach work proactively to maintain a high level of accomplishment; ability to meet deadlines while producing high quality work; ability to anticipate needs and follow through to completion.

Ability to develop, leverage and influence relationships within the organization and across various functions.

Anticipates issues or problems and is resourceful in resolving them.

The anticipated salary range for this position is $54,400 – $114,400.

The selected candidate’s compensation will be determined based on their skills, experience, and qualifications.
