The Florida Department of Children and Families (DCF) is the state of Florida’s social services agency. Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders.
Northeast Florida State Hospital (NEFSH) is a 613-bed, licensed mental health treatment facility that provides person-centered services to adults suffering from severe and persistent mental illness. The hospital, located in Macclenny, was established in 1959 and is the largest state operated civil treatment facility.

This is a highly responsible and professional position that will serve as a Medical Unit Specialist at the Northeast Florida State Hospital. T his position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.
Specific Duties and Responsibilities include:
This is a highly responsible position assisting the Primary Care Physician Services Coordinator in the management and coordination of medical appointment scheduling, follow up and data entry for specialized medical consultations, procedures and clinics of a large mental health institution. The position requires an excellent knowledge of medical terminology, computer literacy, excellent verbal and written communication skills as well as the ability to comunicate among a variety of professional staff persons.
Daily operations include working independently with staff physicians, clinic physicians, external physicians, nurses, consultants, the Hospital Attorney’s office, Transportation, and Accounting Departments to ensure timely appointment scheduling, legal status confirmations, insurance billing and responsible party confirmations, as well as appropriate transportation arrangements, timely delivery of medical reports, filing to medical charts and operational data entry related to management and functions within the MED Scheduling Office.
Coordinates admissions and discharges to and from outside facilities for specialty services in accordance with NEFSH policies and procedures.
Ensures all paperwork and orders are complete, including laboratory and x-ray results, if necessary.
Arranges appropriate transportation and ensures notifications are made accordingly.
Serves as liaison to consultant physicians and outside facilities.
Independently handles all routine matters and notifies supervisor of situations requiring immediate attention.
Arranges follow-up appointments, notifies primary care physicians of appointments and testing, and delivers consult recommendations to primary care physicians in a timely manner.
Coordinates outside medical appointments in such a manner to reduce the cost of controllable expenditures.
Maintains patient data and performs independent data analysis to validate the number of units of service as well as providing accounting relevant data for appropriate reimbursements.
Responsible for maintaining and coordinating with external consultant’s (Baptist/St. Vincent’s) mammography unit, all mammograms for NEFSH residents and employees.
Ensures all pertinent paperwork is complete and notifications are made.
Request resident mammogram reports form Baptist/St. Vincent’s, schedules follow-up diagnostic mammograms and ultrasounds, maintains tracking log of all mammograms and assists mobile imaging unit and enhances customer satisfaction by ensuring appointments are kept.
Ensures data collection of employee satisfaction with services and provides records to the Employee Relations Department as part of the hospital’s Wellness Program.
Compiles and prepares weekly and monthly summary reports of scheduled appointments and outside cost utilization, by service (i.e. surgical, orthopedic, urology) for analysis of cost efficiency.
Assist the Infection Control Department with assigned filing and data management of patient records related to appointments and procedures through NEFSH internal clinic operations (Women’s Health/Gyn, Neurology, Podiatry and Eye Clinics).
Assists and submits job orders for general maintenance and repairs of clinic equipment as assigned. Reviews requests for medical equipment for residents, such as hearing devices and orthopedic braces.
Coordinates appointments, prepares purchase requisitions and schedules follow-up appointments if necessary.
Performs other related duties as assigned.
Maintains a working knowledge of the mission, vision, values, long-term objectives, annual business objectives, organizational structure and NEFSH operating procedures to include administrative directives.

Minimum Qualifications:
Four years of clerical or hospital experience.
College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience.
