About the Program and Position:
This position will support our All Aboard Family Literacy and All Aboard After School programs as well as the South Florida Offices. These programs serve children from low-income and high-risk neighborhoods and support their social, emotional and educational needs and interests. This position will help program staff in a variety of needs, including connecting with families and community stakeholders, assisting with documentation and reporting for funders and overall program operations. The Administrative Assistant will also help in the coordination and functioning of agency administration & Southern Florida Offices and provide administrative support to agency program directors and supervisory staff. This position will work closely with the Program Director in coordinating and staffing the All Aboard Afterschool Program.
How you get to use your skills…
Audit and complete as needed client documentation as needed of all out of home care client records and other agency program records.
Ensure accurate recordkeeping by aiding the intake and discharge program paperwork and logs.
Provide clerical support such as faxing, mailing, copying and filing documents.
Manage, receive, distribute, and send packages.
Purchase and maintain inventory of office supplies.
Maintain a contact system for clients and customers.
Assist in meeting planning by setting up and breaking down spaces and managing food and necessary logistics.
Prepare the agenda and collect materials for meetings, and conferences; take minutes and keep records of proceedings as needed.
Make travel arrangements; prepare itineraries; prepare, compile, and maintain travel vouchers and records.
Administer and maintain property leases.
Coordinate schedules among team members.
Provide clerical support using Microsoft Office and Google Workspace
Schedule: Non-Exempt
Regular hours entail 9:00 am-5:00 pm, Monday – Friday
Must be flexible to meet program needs
Experience and Skills:
High School Diploma – required.
Strong administrative experience is required.
Bi-lingual (Spanish/English) required.
Excellent organization skills and ability to manage multiple tasks within a fast-paced and changing environment
Ability to work effectively in a team context and must be able to complete tasks independently.
Strong skills in Microsoft Office and Google Workspace
Excellent communication and proven human relations and customer service skills.
Ability to handle confidential material in a responsible manner.
Valid FL Driver’s License.
Physical Requirements:
Word processing: Including responding to e-mails, composing letters, completing computerized documentation, and transcribing minutes for meetings: This involves sitting at a computer for a minimum of 5 hours and could be up to 7 hours a day depending on program needs.
May be required to stoop, kneel, crouch, or crawl
Completing paperwork – such as copying, stapling
Answering phones, processing mail, filing, lifting packages
Ability to travel to all program sites
