Summary You will serve as the EXECUTIVE ASSISTANT to the Head of the Warfare Analysis & Digital Modeling Department (Code M) of NAVSURFWARCENDLD. Responsibilities You will provide high quality, high-volume administrative support primarily to the M Department Head. You will perform top-level administrative, operational, and office management functions, directing the finer points, procedures and administrative controls of the M Department Heads office, to ensure the office runs smoothly every day. You will manage the critical, evolving needs of the M Department Head and ensure workflow and productivity of the office is a model of efficiency. You will manage calendars, schedule meetings, make travel arrangements, and process and route visitors, phone calls and emails. You will maintain the records of employees directly supervised by the Department Head and assist with the preparation of briefing and presentation material. You will arrange and take minutes for the Department Head, management, and sponsor meetings, oversee a steady drumbeat of office activity, and recommend efficiencies and improved ways to run the office. You will network with service providers (facilities, security, IT, etc.) to resolve issues, respond promptly to upper and lower management queries, coordinate team-building, training, and social activities, and control office supplies and inventory. You will synchronize, direct and control administrative and clerical work for M Departments two Divisions and five subordinate Branch offices. You will lead and/or participate in corporate working groups and study teams, and assist NSWCDD and M Department in orchestrating special activities, such as Navy Knowledge Network meetings, Information Exchanges, and various social events. You will serve as the M Department Training Coordinator, developing internal processes for ensuring training opportunities are disseminated to the workforce and members of the workforce are properly enrolled in courses. You will lead and guide efforts of lower-level secretaries, grooming them to take on increased levels of responsibility, and strive to retain them as productive members of the workforce. You will analyze department operations and tasks and mentor personnel to grow and succeed. You will assist with coordination, dissemination, and evaluation of NSWCDD policies and procedures. You will compose/review correspondence, memoranda and other materials on technical and non-technical matters for the signature of the Department Head and staff. You will type and review a variety of memoranda and reports for accuracy and content. You will determine the routing of correspondence to staff members, setting controls and deadlines, establishing and maintaining sensitive files. You will assume responsibility for ensuring that requests for action or information, in absence of the Department Head, are made known to responsible staff personnel who can satisfy the request. You will develop and implement department-wide processes and procedures. You will act as liaison between personnel by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary to implement policies, directives, and instructions. You will provide support to other M Department Staff level employees, as needed, teaming with the M029 position. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the next lower pay band, NG-03 (GS-07/08 equivalency), in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Managing high-volume administrative tasks (e.g. scheduling, communication, and training coordination) to ensure smooth office operations and enhance productivity in order to meet evolving needs for a naval department or division.
