Job Purpose:

This is an administrative position responsible for ensuring that all required electronic documents are collected, filed appropriately, provided a safe, professional, and friendly environment for staff, clients, and guests in person or on the phone.

Essential Job Functions:

Maintain digital and electronic records of employees.

Assist with gathering documents for audits and employee file reviews.

Scan employee documentation into the system in an accurate and timely manner.

Provide customer service; greets, check in and directs all individuals who enter and leave the Agency as needed.

Provide coverage to reception desk on a daily basis.

Answer the Agency switchboard in a timely manner and directs calls appropriately.

Assist in maintaining on-going security in the Lobby and monitor security cameras.

Assist with deliveries to the agency.

Prevent the entry of unauthorized people and prohibited articles into restricted areas.

Froward voicemails to the appropriate staff.

Assist with client transportation pick up or drop-off.

Assist in facilitating emergency procedures and emergency drills.

Maintain the confidentiality of sensitive client or staff information.

Other duties as assigned.

Qualifications

Required Education, Experience, Certifications, Licensure and Credentials:

Where appropriate, education and/or experience may be substituted.

1. Ability to respond calmly in emergency situations.

2. Ability to deescalate visitors that may be angry and/or aggressive.

3. Ability to follow procedures and always demonstrate professionalism.

4. Ability to problem solve and think critically to resolve unexpected issues/problems and leverage available resources for that resolution.

Minimum Required Education: High School Diploma or GED

Minimum Required Experience: Two years of experience in general office/receptionist work operating a phone system in a high traffic environment.

Physical Requirements, Visual Acuity, and Work Conditions:

Physical Requirements: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.

Visual Acuity: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal.

Working Conditions: None. The worker is not exposed to adverse environmental conditions.

1. The work environment can be busy, noisy, and stressful. This is a high traffic department; there are many people seeking assistance in a wide variety of Human Resources functions.

2. Must be able to sit for prolonged periods of time.

3. Work hours may vary by location but are Monday through Friday between 7:30 a.m. and 4:30 p.m.
