POSITION DESCRIPTION: Creates memorandums, letters, spreadsheets, reports and presentations as needed. Disseminates information via various methods, i.e., email, flyers, posters, one-on-one briefs or in group settings. Provides phone coverage and customer service. Reviews and distributes mail. Coordinates, schedules and sets up conferences and meetings for the office. Maintains and updates SharePoint site as needed.

Uses a variety of software applications, databases, and office equipment to accomplish assigned tasks for the modal department. Maintain motor vehicle logs. Ensures appropriate recordkeeping of motor vehicle usage for all vehicles within the cost center on a monthly basis.

Assists the Rail Administrator with reviewing and preparing invoices for processing. Assists with entering field review notes into the appropriate files. Assists with scheduling and coordinating with Railroad Flagger. Assists with updating and submitting monthly PSEE reports.

Assists Seaport Administrator by providing support on the quarterly project review through setting up appropriate meetings, preparing documentation, and assisting with project close out. Assists with reviewing and preparing invoices for processing.

KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of general office procedures and practices. Knowledge of the techniques for effectively dealing with people. Knowledge of correct grammar usage. Knowledge of the techniques for effective communication. Ability to follow instructions. Ability to review data for accuracy and completeness. Skilled in providing customer service. Skilled in prioritizing numerous tasks. Skilled in the use of the personal computer with special emphasis on Word, Outlook, and Excel.

MINIMUM QUALIFICATIONS: High School Diploma or Certification of High School Equivalency
