Job Overview: The Office Assistant Accounting & Payroll is responsible
for providing administrative support to the accounting department, with
a focus on payroll processing and basic accounting functions. This role
includes handling day-to-day administrative tasks, assisting with
payroll operations, and supporting the overall accounting team. The
ideal candidate has strong organizational skills, attention to detail,
and experience in payroll and basic bookkeeping. Key Responsibilities:
Payroll Processing: Assist with the preparation and processing of
payroll for employees, ensuring accuracy and timeliness. Collect and
verify timesheets, employee hours, and other payroll-related
information. Input payroll data into the payroll system, calculate
wages, overtime, and deductions. Ensure compliance with federal, state,
and local payroll regulations, including tax filings and reporting.
Address payroll-related inquiries from employees and resolve any
discrepancies in a timely manner. Accounting Support: Assist in
maintaining accurate financial records, including accounts payable and
receivable. Process invoices, track expenses, and prepare payments for
vendors. Assist in data entry and reconciliation of financial
transactions. Help prepare financial reports, such as profit/loss
statements, balance sheets, and monthly expense summaries. Assist with
month-end and year-end accounting tasks as needed. Administrative Tasks:
Provide general office support, including answering phones, filing, and
managing office correspondence. Organize and maintain files for employee
records, vendor information, and financial documents. Prepare and
distribute reports, spreadsheets, and other financial documents as
required. Assist in organizing meetings, maintaining office supplies,
and performing other administrative tasks as needed. Compliance and
Confidentiality: Maintain confidentiality of employee information,
payroll records, and financial data at all times. Ensure that all
financial documentation and payroll processing adheres to company
policies and relevant legal regulations. Qualifications and Skills:
Experience: o Minimum of 2 years of experience in an administrative
role, with a focus on payroll processing or accounting. o Experience
working with payroll software and accounting systems such as QuickBooks,
ADP, or other platforms is preferred. Technical Skills: o Proficiency in
Microsoft Office Suite (Excel, Word, Outlook) with strong Excel skills
for data entry and financial reporting. o Basic understanding of
bookkeeping and accounting principles. Organizational Skills: o
Excellent attention to detail and ability to manage multiple tasks with
accuracy. o Strong time management skills to meet payroll and accounting
deadlines. Communication Skills: o Strong written and verbal
communication skills for interacting with employees, vendors, and
management. o Ability to handle sensitive and confidential information
with discretion. Problem-Solving: o Ability to identify discrepancies
and resolve payroll and accounting issues in a timely manner. Education
& Certifications: High school diploma or GED required; an associates
degree in accounting, finance, or a related field is preferred.
Certification in payroll processing or bookkeeping is a plus. Benefits:
