Job Summary:This position will be held by an individual who can fully understand the Eligibility, Recruitment, Selection, Enrollment and Attendance (ERSEA), Head Start Performance Standards and is able to implement them accurately at all times. Ensures data keeping and report preparation, through performing detailed data entry work and assure the departments timely preparation of reports.
Major Responsibilities/Activities:
– Assure timely follow up on program inquiries and maintain updated tracking system of potential enrollees
– Ensure the eligibility, selection, and enrollment processes adhere to HSPS and program policies and procedures
– Review all applications received and work directly with Intake workers/Family Advocates to ensure that all necessary enrollment/intake forms are completed and obtained in a timely manner for all children/families assigned to the program.
– Determine the eligibility of children/families, ensuring that all family documentation is accurate and complete
– Maintain an up to date and accurate waitlist of eligible children to enroll in the event of vacancies.
– Keep up to date and knowledgeable of ERSEA requirements that are communicated through the Office of Head Start communications such as Information Memorandums, Policy Clarifications and Program Information documents.
– As schedule permits, provide clerical support in attendance entry and follow up

– Track Centers whose ADA falls below 85%, and to maintain Attendance Action Plans in Master Binder System

– Forward applications upon selection/enrollment to appropriate Family Advocate staff member for completion of intakes.
– Responsible for reviewing/verifying applications and ERSEA information in data system for all children who are enrolled or placed on the waitlist.
– Ensuring all selected children rosters are printed and placed in a binder for proof of first day of school enrollment
– Maintain program inquiry tracking through database or other tracking reports
– Submit reports as needed and requested, such as monthly summary tracking reports, etc.
– Participates in assigned meetings, events and training as required.

– Conduct daily, weekly, monthly, monitoring of data tracking system as it relates to ERSEA (Head Start/Early Head Start/Child Care Partnerships/Blended Pre-K, to ensure accuracy
– Maintain current knowledge as it relates to ERSEA updates and changes
– Ability to meet deadlines, prepare detailed reports, and maintain documentation
– Forward verified income applications upon selection to appropriate family advocate staff member for completion of intakes.
– Additional duties as assigned by supervisor
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. ERSEA Support staff must be acquainted with goals and philosophies of Head Start, as well as understanding of developmentally appropriate practices. Maintain confidentiality, disseminating information to others on a need to know basis only.
