Job Description Summary:
This position is responsible for financial management, budgeting,
research & grant administration, resource management and leadership for
the department of Family & Community Medicine.
Job Description:
Financial Management and Budgeting
– Analyzes, prepares, and plans the annual budgets for the department
– Oversees reconciliation of accounts monthly
– Works with the MPA regarding budgeting, patient billings and
contract management
– Provides budgetary information for the chair prior to and during
contract negotiations for the department
– Analyzes cost verses benefits for contracts
– Analyzes financials statements and budgets for department and
program operations and provides a summary of this analysis to the
chair on a regular basis
– Updates budgeting information in Adaptive and transfers over
information to Workday
– Identifies trends and possible areas of future concern
– Tracks any monthly reports requested by the chair
– Approves purchases within staffs delegated authority and approves
all travel requisitions
Leadership of Administrative Staff and Direction for Faculty
Positions
– Delegates work assignments and schedules for support staff; reviews
and approves electronic time reports
– Evaluates and facilitates training needs for staff for professional
growth
– Responsible for the day-to-day operations of the department
– Communicates to the department faculty and staff changes and
information about the medical school, policies, and other items that
impact their job duties or work environment
– Recruits and hires staff for the department
– Assists chairperson in recruitment of faculty
– Collaborates with human resources, MPA, payroll Academic and Student
Affairs and other departments for a smooth entry into the medical
school faculty position
– Provides department orientation for faculty and staff and
coordinates KUSM-W and MPA orientation with HR departments
– Ensures that staff and faculty comply with mandatory training on
safety, computer systems, HIPAA, and human subjects
– Serves as a liaison between faculty and staff ensuring adequate
clerical support for faculty and assists in managing departmental
faculty/staff conflicts
Research and Grant Administration
– Establishes and maintains tracking for payments of research projects
involving faculty
– Verifies all payments are completed and recorded
– Provides intermediary role between faculty and KUMC RI for grants
– Track report due dates and complete grant reports to ensure faculty
are in compliance
– Process funding receipts and invoice requests with KUMC RI in
accordance with their policies and procedures
– Stays current on the research and grant application processes and
assists faculty with preparation and processing of forms and
paperwork
Resource Management
– Manages departmental offices including space allocation, furniture
and equipment acquisition and maintenance
– Continually assesses and evaluates the application of technology to
improve efficiency of departmental processes and systems
– Implements necessary changes to equipment by purchasing and
upgrading, as budgetary constraints allow
– Maintains information in compliance with federal, state and
institutional rules and regulati ns
Assistance to the Chair/Departmental Administration
– Provides general administrative support to the chair of the
department either directly or through delegation
Liaison for Department
– Establishes and maintains professional relationships with personnel
from the Medical Practice Association, affiliated hospitals and
clinics, and other community partners
– Establishes and maintains professional relationships with other
departments and managers
– Participates in or leads various school-wide activities as
opportunities arise
Practice Management and Compliance
– Maintains knowledge of HIPAA compliance rules and regulations for
understanding of contractual language
– Continually reviews monthly billing and collecting reports from the
nursing home service line
– Submits monthly contract invoices and monitors payment of monthly
contracts in accounting system
– Approves payroll and time off requests for midlevel provider
– Works with MPA staff to enroll faculty on provider lists for
insurance panels, hospital privileges, credentialing, licensing
application and DEA renewal
– Reviews and monitors all department clinical contracts including
faculty employment agreements
