Description
Under supervision of the Director of Perioperative Services, the Surgery Scheduler performs a combination of specialized tasks related to the effective scheduling of surgeries; including coordinating and scheduling surgical cases; database maintenance of the Ventura County Medical Center (VCMC) and Santa Paula Hospital (SPH) scheduling queues; and performs other duties as assigned.
The ideal candidate will possess expertise in scheduling and coordinating surgeries, including managing surgical block times and maintaining scheduling queues for Ventura County Medical Center (VCMC) and Santa Paula Hospital (SPH). They should have strong knowledge of medical and surgical terminology, as well as proficiency with electronic health records (EHR), particularly Cerner, and be able to multi-task, prioritize, and make sound decisions under pressure. The candidate must also demonstrate excellent organizational skills, attention to detail, and the ability to build effective working relationships with healthcare professionals and support staff.

Surgery Scheduler is represented by the Service Employees International Union (SEIU) and is eligible for overtime compensation.
The eligible list established from this recruitment may be used to fill current and future Regular (including Temporary and Fixed-term), Intermittent, and Extra Help vacancies. There is currently one (1) Regular vacancy.

Examples Of Duties
Duties may include but are not limited to the following:
Maintains ongoing scheduling of patient surgeries across two hospital campuses and all surgical specialties (inpatient and outpatient, as well as GI lab);
Uses technology to manage surgical block times and adjusts schedules in line with recommendations;
Collaborates with outside clinics, surgeons, staff, executive nursing, and medical leaders regarding surgery scheduling, cancelations, block times, backlogs, scheduling issues, and rescheduling of surgical cases;
Completes the daily surgical schedule and distributes appropriately;
Assures appropriate coordination through daily surgical operations huddles;
Engages in professional and courteous telephonic communications;
Orders office supplies; and
Performs other related duties as required.

EDUCATION, TRAINING, AND EXPERIENCE:
Any combination of education, training and experience which has led to the acquisition of the required knowledge and abilities:
The required knowledge and abilities to perform this function could be attained through the possession of a high school diploma or equivalent AND two (2) years of work experience in a healthcare setting that include direct responsibility for medical services scheduling, knowledge and use of medical and surgical terminology, and direct contact with physicians and patients.
NECESSARY SPECIAL REQUIREMENTS:
One (1) year of surgery scheduling experience

Knowledge of:
modern office practices and procedures and the operation of standard office equipment
standard medical and surgical terminology
customer service principles
policies and procedures related to the surgery scheduling of elective, urgent, emergent, and add-on surgical cases
types and functions of the various outpatient clinics
computer applications such as word processing, spreadsheet and electronic medical records (EHR).
Ability to:
navigate electronic health records, especially Cerner;
perform a variety of clerical duties under stressful situations
work effectively and prioritize conflicting tasks, sometimes in difficult situations
multi-task in a fast-paced environment
work independently, exercise sound judgment and make appropriate decisions
use a keyboard with accuracy and moderate speed
explain, verify and/or clarify information necessary in the completion of the medical forms
optimize operating room usage through effective surgery scheduling; organize and maintain accurate files and records
establish and maintain effective working relationships with all levels of medical professional, administrative and support personnel, and clients contacted in the course of work
utilize specialized computer systems.

TRAINING & EXPERIENCE EVALUATION – 100%: A Training and Experience Evaluation (T&E) is a structured evaluation of the job application materials submitted by a candidate, including the written responses to the supplemental questionnaire. The T&E is NOT a determination of whether the candidate meets the stated requirements; rather, the T&E is one method for determining who are the better qualified among those who have shown that they meet the stated requirements. In a T&E, applications are either scored or rank ordered according to criteria that most closely meet the business needs of the department. Candidates are typically scored/ranked in relation to one another; consequently, when the pool of candidates is exceptionally strong, many qualified candidates may receive a score or rank which is moderate or even low resulting in them not being advanced in the process.
If there are three (3) or fewer qualified applicants, a T&E will not be conducted. Instead, a score of seventy percent (70%) will be assigned to each application, and each applicant will be placed on the eligible list.
Applicants successfully completing the examination process may be placed on an eligible list for up to a period of one (1) year.
