Schedule: FT / Day (Monday thru Friday 8a.m. to 5p.m.)

The role you’ll contribute:

Executive Administrator is under the direct supervision of the Exec Director of Foundation department, this position provides executive administrative support and services. Responsibilities may include document preparation and distribution, arranging meetings, scheduling, generating reports, greeting visitors, and maintaining files. This position requires the use of some independent judgement and appropriate handling of confidential information. Role may handle multiple projects.

Answers, evaluates, and appropriately responds to phone calls, correspondence, electronic mail, visits, and other inquiries

Provides clerical/administrative support, relaying messages, arranging appointments and filing

Creates documents, files, prepares correspondence, and produces copies

Prepares, edits and distributes reports, agendas, letters, meeting minutes, and other documents

Creates PowerPoint presentations, spreadsheets as needed for various projects or events.

Relies on instructions and pre-established guidelines to complete tasks and objectives

Prepares expense reports. Tracks vendor payments, monitors check distribution and maintains detailed records.

Prepares payment for incoming invoices, subscriptions, supply orders, etc.

Maintains organized files and office equipment

Meets department set SLA/performance standard

May be required to provide travel arrangements

May be required to conduct/participate in event planning

Performs other duties as assigned

Qualifications

The expertise and experiences youll need to succeed:

Required:

Associates degree

3 years related executive administrative experience
