Job Title: Global Real Estate – Business Operations Manager
Location: GHQ – Atlanta, GA (hybrid schedule 4 days/week onsite)
Position Summary
Reporting directly to the Vice President of Global Real Estate, the Global Real Estate – Business Operations Manager is an integral member of the GRE leadership team, executes the mission, goals, and strategies of NCR Atleos’ Global Real Estate initiatives, and is accountable for the successful delivery of a comprehensive range of financial and business operations services & support.
Areas of focus include driving the operational cadence with our third-party real estate services partner, including budgeting, forecasting, reporting and analytics. The role is critical to our success through driving informative decisions based on the current spend plan, navigating priorities, market conditions and strategic business plans and is responsible for continuous process improvement, innovation through fact-based decision making and driving cost efficiencies. The Global Real Estate – Business Operations Manager acts as primary liaison with corporate finance team, corporate controllership, and is accountable to ensure compliance with Company policies. This position provides an opportunity to work with a broad range of areas related to a global real estate portfolio, including facility management and building operations, transaction management, energy management, leasing, project management, and real estate portfolio planning to ensure our goals are met.
The ideal Global Real Estate – Business Operations Manager candidate should have strong leadership skills, experience working with a global team, the ability to communicate with individuals across the organization, and a broad understanding of real estate, construction, and facilities operations practices.
Key Areas of Responsibility:
Provide clear direction and strategic advice to GRE Leadership.
Support the delivery of global real estate operations with particular focus on understanding and driving actions to maximize financial performance.
Oversight of service providers dedicated account finance team.
Accountability for GRE Purchase Order and Invoicing process, including those managed by Service Provider.
Align, collaborate and guide the account finance team to ensure timely, accurate and completeness of deliverables within defined timeframes of corporate finance organization requirements.
Business Planning and Management
Coordinating and leading the annual operational planning process and ensuring alignment with financial planning deadlines and deliverables.
Accountable for preparation of the annual bottoms-up plan.
Oversee and coordinate the activities of the account team across regions with respect to the annual budget setting and quarterly forecasting cycle for OpEx and CapEx.
Managing ongoing forecasting and monthly business reviews to ensure commercial risks and opportunities are highlighted.
Manage, analyze and report on restoration reserve, legal reserves, and other key controls.
Partner with Finance team to ensure that monthly and quarterly financials are an accurate reflection of the operation, including providing information on necessary accruals.
Ad-hoc reporting and analysis as needed.
Ensure that accurate and timely operational, financial and other KPIs’s are provided to all members of the Real Estate management team.
Maintain a thorough understanding of the corporate accounting structure and associated systems. Partner with Corporate Finance to translate that knowledge to ensure a smooth and consistent flow of financial data to drive business decisions.
Coordinate and track cost savings initiatives through regions, both Strategic portfolio management and Operational, Platform and Capital savings.
Procurement, Purchase Orders and Invoice Payment & Processing
Oversight of PO & Invoice process, including vendor management.
Ensure proper alignment of POs and Invoices to appropriate cost centers.
Ensure the regional account teams are effectively managing the processing and payment of all regional property operating and capital expenditure invoices, including payment of rental to landlords, in accordance with legal obligations.
Produce and analyze rent variance reports.
Oversee Common Area Maintenance (CAM) reconciliation.
Ensure that incidental revenue streams (i.e. sub-lease rents) are consistent with contractual terms, and confirm they are accounted for appropriately.
Oversight of team ERP system access, including periodic reporting and audits.
Related process improvement.
Controls & Compliance, Policies & Procedures, and Audit:
Ensure that the Service Provider maintains appropriate process and systems controls to guarantee the integrity of all transactions.
Develop and maintain all relevant policies and procedures with respect to all operational, financial & support services, including those associated with the outsourced service provider.
Managing with focus on policy and strategy implementation and control.
Ensure data integrity of the systems across the regions and audit data from time to time.
Ensure that all financial accounting and reporting by the service provider is audit worthy and in keeping with recognized quality management processes.
Manage compliance reviews and certifications related to GRE functions and system access.
Provide periodic risk reviews related to corporate controllership.
Manage Service Provider Financial Management KPIs, including Annual budget delivery, Quarterly forecast accuracy, and Audit compliance.
Basic Qualifications:
10 years of relevant experience
Extensive work experience in a finance or operational management function of a global business
Extensive experience with cross-functional Global Real Estate organization, including outsourced Real Estate service providers
In-depth understanding of regulatory/statutory requirements and governance principles/SOX
Exposure to US GAAP/IFRS
Strong team leader, excellent presentation and communication skills (verbal and written)
Strategic Thinking – Ability to think broadly, create a shared vision, and embrace change as an opportunity. Ability to deliver simple and effective solutions in a complex matrix-based environment
Ability to influence senior management on strategic matters
Organizational Agility – Knowledgeable about how organizations work; knows how to get things done both through formal channels and the informal network. Flexibility around understanding regional/cultural/contextual differences and allow for local expression without compromising global coherence
Ability to identify financial opportunities and risks as well as perform account reconciliations
Ability to research, data-mine and problem solve independently. Attention to detail is required
Financial competency at both a strategic & detailed level of operation
Requires in-depth knowledge of financial terms and principles
Ability to forecast and prepare budgets or business cases for investment or exit
This position conducts complex financial/business analysis, including the preparation of complex reports.
Broad, in-depth understanding of Generally Accepted Accounting Principles (GAAP) concepts
Familiarity with lease accounting standards and practices
