Summary

The Sr Organizer Operations Manager role will report to the VP Organizer Operations and work closely with internal departments and clients on all areas of event operations. The position requires a self-motivated individual that is passionate about events and has experience in some/all areas of event operations and logistics including exhibitor operations, speaker management, sponsorship operations, customer service, registration, and conference management. An ability to establish a strong and supportive relationship with clients, exhibitors, vendors, and the Freeman team is critical to the success of this position.

This position will support our Organizer Operations group under our Growth (Sales) team and is eligible to work a remote schedule.

Essential Duties & Responsibilities

Project management, including the ability to lead the planning and execution of multiple types of events, activations, and special projects from beginning to completion.

Lead and participate in client and internal meetings, including regular status meetings, pre-program walkthroughs, onsite meetings, and post program debriefs.

Travel to and onsite management of events.

Develop strong relationships with exhibitors, handling of booth regulations, vendor issues and overall communication regarding operations with clients, ensuring that all communication is clear, concise, and consistent with show guidelines.

Research venues and vendors for conferences and trade shows.

Develop and manage project timelines.

Manage and support in all areas of event operations including signage management, event flow, run of shows, activations, premiums, F&B, registration, agenda management, special events, transportation, speaker and sponsorship operations.

Support and manage event budgets, invoices, ROI tracking, schedules of payments and cost savings report.

Preparation and distribution of detailed pre-event communications and post event reporting.

Development of Exhibitor Appointed Contractor (EAC) sites, review Certificate of Insurance, and work with EACs to gain access to events.

Background in trade show & event operations

Ability to work on multiple projects simultaneously and work in a fast-paced environment while maintaining a professional composure.

Ability to lead and oversee multiple client event portfolios simultaneously

Flexible, self-motivated, energetic, who uses time productively and efficiently

Strong team player who can interact well with external clients, vendors, and other internal teams

Solutions oriented

Strong project management skills to manage both internal and external vendors and teams

Stays current with trends in event planning, design, and production

Ability to travel required

Ability to work irregular hours in addition to normal business hours

Familiarity with association and client management environment

Excellent written and verbal communications skills required

Ability to work well under pressure

General Contractor experience a plus

Education & Experience

Bachelor’s degree preferred, High School Diploma or Equivalent with relevant work experience required

Seven years (7) operational/show management experience in tradeshows, with strong working knowledge of venues, decorators, freight, floor plans, conference programs, and other event related areas

Strong and proficient skills with Microsoft Office tools such as Excel, Word, and PowerPoint

Travel Requirements

Travel 25% to 50%
