Responsible for the internal (company) and external (customer) coordination of all activities and documentation necessary and required for international and domestic product shipments. Additional responsibilities include the coordination of priorities for shipping and packaging processes to meet on time delivery goals, scheduling and maintaining the internal company shipment calendar, preparation of all documentation necessary for the external processing of Letters of Credit, and documentation and record keeping of all outgoing customer shipments.

Hours for this position will be 10am – 6pm Monday-Friday

Responsibilities:

Coordination and determination of best method of shipment with the customer

Effectively communicate and partner with Commercial department to ensure customer specifications/expectations/communications are carried out to the highest standard

Examine outgoing shipments to ensure shipments meet specifications and documentation requirements and on-time delivery

Plan and direct flow of finished product traffic moving to overseas destinations

Inspect invoices and shipping manifests to ensure compliance with tariff and customs regulations

Prepare shipping and customs documentation for all exports

Order shipping materials required for packaging and shipments: dry ice, LD3s etc.as required

Review all freight invoices for accuracy

Contact carrier representative to make arrangements and issue instructions for loading products

Prioritize shipping orders to inform ship method and time of carrier arrival

Prepares product for packaging and delivery i.e.: packaging, carton labels, Assists in dry ice, shrink-wrap, and thermal wrap (as needed)

Maintains accuracy of Finished Label inventory

Perform other clerical tasks such as preparing customer correspondence and maintaining files

Communicate with customers by phone, in person, fax, or e-mail

Address complaints concerning billing or product received, referring complaints to designated departments for investigation

Maintain files for customer orders and all activity (shipments, inquiries, complaints) including sample-related

Maintain accurate shipping calendar and work with Quality Control and Manufacturing to set priorities to meet ship dates

Update/maintain list of current part numbers for billable products

Maintain files for TSA screened shipments; send monthly activity report to TSA

Maintains good communication and working relationships with all departments and effectively functions within a team environment

Packages consignments according to shipping schedule and business needs

Maintains and adheres to all facility safety policies and procedures

Effectively plans and utilizes time and resources to meet business needs and achieve business objectives

Maintains work area organization and documentation to satisfy ISO and GMP standards

Exhibits professional etiquette that exemplifies the values of the organization

Attendance at the worksite is required on a regular and on-going basis

Qualifications:

Minimum of a High School Diploma, GED, or 2 year college degree and 2-4 years of experience working in a warehouse environment in handling inventory control, packaging and shipping duties of an international manufacturing company. Experience working with customers (both written and verbal) in a Quality Based Company (ISO 9001 / cGMP).

Language Ability:

Ability to read, analyze and interpret complex written and verbal information. Must have the ability to effectively communicate orally and in written form both internally and externally. Must have sufficient English reading, writing and speaking skills to communicate effectively to customers inside and outside the company.

Math Ability:

Must be able to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals. Must understand and be able to convert measurement units from English to Metric and metric to English. Must have ability to compute rate, ratio, and percent to draw and interpret bar, line, pie, etc… graphs.

Reasoning Ability:

Ability to apply common sense understanding to develop and carry out instructions furnished in written, oral or diagram form. Must have ability to solve complex problems involving multiple variables. Must be a good listener and be able to handle customer interactions on a regular basis.

Computer Skills:

Must be proficient with computer software including word processing & spreadsheets (Microsoft products preferred), and ERP System. Must be familiar with and be able to communicate via e-mail. Ability to enter data clearly and accurately into various shipping forms/systems.

While performing the duties of this job employee is regularly exposed to moving mechanical parts. Occasionally, the employee is exposed to flammable materials and fumes, airborne particles, high precarious places, risk of electrical shock, and extreme cold. Noise levels are moderate. Exposure to heat/cold while preparing items in packaging or shipping.

While performing job employee is regularly required to use hands and fingers to handle, feel, write, and type in order to perform daily tasks. Employee is frequently required to stand, stoop, sit, kneel, crouch and bend. The employee is occasionally required to walk and climb or balance. The employee is regularly required to lift up to 80 lbs and occasionally up to 120 lbs. The vision requirements include distance vision, peripheral vision, depth perception and ability to adjust focus. Must be able to read, write and communicate work instructions accurately in written and oral formats. Must be able to see, read and understand equipment instruction manuals, SDS information, regulations and work orders and other written information used for role.

Salary: USD 21.50 Hourly

Salary offered will vary depending on your location, job-related skills, knowledge, and experience.
