Job Summary and Qualifications

Responsible for administrative support of Training Program Outreach (TPO) team, including conference coordination, brand outreach, and data quality related tasks.

DUTIES INCLUDE BUT ARE NOT LIMITED TO:

· Social media outreach and marketing program development and management for TPO

· Ensure TPO brand collateral (presentations, flyers, giveaways, email templates, etc.) stays updated and consistent to HCA brand standards

· In collaboration with Senior Physician Outreach Manager, research opportunities to partner with outside organizations to expand TPOs physician reach

· Complete stipend recipient onboarding tasks, including but not limited to, welcome packets, stipend liaison intro emails, stipend buddy assignments, holiday cards, and birthday and Doctor’s Day email campaigns

· Manage stipend recipient quarterly quality control reviews and regular stipend data integrity audits

· Manage stipend and TPO marketing campaigns

· Interface with web teams to regularly maintain and update the TPO website

· Research and develop creative improvements to our outreach events/webinars (research competitive landscape, research creative options to drive webinar engagement, etc.)

· Assist TPO Event Managers with outreach list development and data dives to build higher quality outreach invitation lists

· Assist TPO Event Managers with post-event data management to include Optimum uploads, “new to Optimum” research, and other post-event data tasks

· Create follow up reminders for managers in Optimum on all new candidates

· Create and analyze Salesforce Marketing Cloud campaigns to follow-up with non-key specialty attendees

· Build Optimum adhoc reports for TPO Managers to use for specialty specific events

· Manage Trumba updates and new Trumba form development

· Update the MGMA compensation data and state licensure requirements on an annual basis

· Assist TPO Managers with CV review requests and MGMA data requests as needed

· Assist with coordinating annual conference schedule

· In conjunction with Senior Physician Outreach Manager, responsible for assisting with planning and organizing conference related events and serving as key point of contact for conference exhibitor and sales managers

· Works with PSG Marketing to manage and update all conference related collateral (conference booths, tablecloth, print collateral, etc.) according to brand standards

· Order, manage and ship giveaways, marketing collateral, event materials, and conference booths

· Confirm all conference event materials are returned to PSG post conference

· Assist Senior Physician Outreach Manager with reporting conference follow up to key stakeholders (Physician Recruitment VP and GVPs, service line leadership, and Strategic Sourcing, among others)

· Handles various administrative details with initiative and good judgment.

· Assists other staff as requested.

· Participates in educational activities and programs.

EDUCATION and EXPERIENCE:

· High school diploma or GED is required. Associates or Bachelor’s degree in business administration is preferred.

· Four to five years of administrative experience is required, including at least one year in a healthcare organization (appropriate education may be substituted for experience).
