Reporting to the Editorial Office Manager, the Editorial Office Specialist acts as a senior member of the Editorial Office team, training and supporting colleagues as well as deputizing for their Manager. You will be proactive and autonomous, delivering high quality journal editorial office (JEO) support services for our diverse portfolio of about 2500 academic periodicals.
As Editorial Office Specialist youll be an expert super-user of Peer Review systems, query management tools and their reporting functionalities. Day-to-day youll resolve user queries escalated to you by JEO administrative assistants and support your colleagues to do likewise by acting as consultant, trainer and mentor for Coordinators on your team. Youll also create and refine escalation procedures working with other departments and vendors as necessary to meet a stretching set of objectives.
The Editorial Office Specialist will have a strong grasp of the Lean concept of “runners, repeaters and strangers” and will have targets around the identification of “runner” issues, on which theyll perform root cause analysis and act upon their findings with creation or improvement of robust SOPs.
The Editorial Office Specialist will always keep the author in mind as their key customer, advocating for outcomes that offer a best-in-class author experience at all times.
What you will be doing:
Supporting your manager and the Editorial Office team to deliver ambitious annual targets as we continue to build and scale our JEO operations, monitoring progress, identifying blockers and developing strategies to mitigate.
Maintaining and building upon expert knowledge of the Peer Review Systems, query management tools and their reporting functionalities.
Monitoring the delivery of JEO support to ensure vendors are meeting TATs and SLAs.
Using data to spot trends in performance from suppliers, escalating where appropriate and providing constructive feedback with specific examples.
Acting as a point of escalation for vendor-based staff working on our JEO programme, and proactively managing the pipeline of our subscription-based journals; the role-holder will actively seek opportunities to perform RCAs and create SOPs to streamline processes.
Escalating blockers and risks appropriately to the Editorial Office Managers only after tenacity and creativity have been applied.
Some awareness of the evaluation of new functionality, industry initiatives, and emerging submission and peer review practice.
An understanding of the work being undertaken by Editorial Operations and Researcher Services in areas of Compliance, Sanctions and Ethics.
Representing the Editorial Office in cross-departmental initiatives.Qualifications
What we are looking for:
While this role includes no direct line management responsibilities, the ability to influence and persuade, as well as monitor and support team project working is key.
Demonstrated experience of working with data, query management tools and all peer review systems used by Taylor & Francis, including ScholarOne and Editorial Manager
Excel skills, with some experience of retrieving data from multiple sources and preparing it for numerical and categorical analysis.
Awareness of data cleanliness issues that may complicate later a alysis.
Interest in developing data analysis skills as a means to answer questions and support evidence-based decision making.
Awareness of and interest in data exploration as a tool to pinpoint opportunities for increased efficiency.
Some experience with creation of clean, visually compelling charts and reports that help others understand. Excellent written and verbal communication skills with strong attention to detail.
Ability to build trust and influence via tangible demonstration of expertise and value-add.

The successful candidate will be able to utilize our balanced working model. We ask that candidates live within acommutable distance to any of our US office locations (Philadelphia PA, New York NY, or Boca Raton FL) toensure that as a balanced worker they can make it to our office locations to collaborate as required. Time spent in the office is likely to range from10%-80% of working hours,with a minimum of 2 days a week in the office.
