We are seeking a highly organized and detail-oriented Operations Coordinator to provide essential clerical and administrative support to our Gas Operations Integration Center. This role is crucial to ensuring the smooth and efficient execution of tasks in a high-paced, team-oriented environment. The ideal candidate will demonstrate excellent communication skills, a commitment to administrative excellence, and a strong focus on both internal and external customer service.
Key Responsibilities:
Permit Management: Oversee the application, receipt, distribution, communication, and execution of necessary permits.
One Call Process: Coordinate the “One Call” process to ensure operational readiness and compliance.
Site Readiness: Manage and communicate site readiness details effectively.
Work Order Management: Create, update, and execute Work Management System (WMS) and Distribution Information System (DIS) order types.
Administrative Support: Perform general office administration tasks, ensuring the office runs efficiently.
PC Applications: Utilize various PC applications including Microsoft Word, Excel, and PowerPoint.
Email Communication: Manage email communication using the Lotus Notes application.
Customer Service: Deliver quality customer service by handling inquiries and complaints with professionalism.
Correspondence Preparation: Draft and manage correspondence, ensuring timeliness and accuracy.
Team Collaboration: Foster cohesive teamwork within the Gas Operations Integration Center.
Customer Complaints: Handle the customer complaint process, ensuring issues are resolved effectively and promptly.
Qualifications & Skills:
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with Lotus Notes email management.
Strong communication skills, both written and verbal.
Excellent organizational and time management skills with the ability to prioritize tasks effectively.
Ability to work efficiently in a high-paced, team-driven environment.
Strong problem-solving skills with a focus on customer service excellence.
Experience in administrative support roles, with a focus on office administration, work management systems, and customer complaint processes.
Preferred Qualifications:
Previous experience in a gas operations or utility setting is a plus.
Familiarity with WMS/DIS or similar work order management systems.
Knowledge of the One Call process and permit management procedures.
