Description The Front Office Manager is responsible for managing the day-to-day front desk operations, ensuring excellent patient service and delivery of care. This position is also responsible for maintaining relationships between physician offices and hospital partner(s) as applicable. This is a full-time position working M-F from 8:00 am – 4:30 pm out of our Plymouth Orthopedic Surgery Center. Twin Cities Orthopedics is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare. Essential Functions: Oversees the ASC Business Office and HIMS, ensuring excellent patient service and delivery of care. Staffs the front office and scheduling office to accommodate the surgical schedule and block schedule. Develops communication strategies with surgery schedulers to increase OR utilization. Manages business operations policies and procedures and verifies their consistent and accurate use. Assists Director in maximizing OR capacity and profitability. Initiates development and maintenance of AAAHC policy and procedure manual and follows all policies and procedures per governing bodies and AAAHC. Oversees the patient pre-admission process in conjunction with the Pre-OP/PACU Manager. Oversees and participates in all ASC software processes. Facilitates department meetings, utilizing department leads as necessary. Responsible for recruitment, retention, orientation and training of qualified staff to carry out the duties of their job description, maintaining the i-Health ASC quality and performance standards. Manages the staff licensing and credentialing process by ensuring all providers are current and facilitates annual peer review for any credentialed medical or professional staff. Works with CVO contacts to maintain proper credentialing records Analyzes, recommends and manages projects for systems and procedures related to staffing, workflow and information needs. Manages concerns raised by physicians that include, but are not limited to, business processes, services reimbursement and scheduling. Ensures staff members receive recognition, development, coaching, and when appropriate, counseling, including employee rounding and delivering performance reviews. Reports occurrences through the centers established occurrence reporting process related to employee and/or patient/visitor events. Actively participates in Quality projects, identifying issues, contributing ideas for improvement, and assisting in collection of data for Quality purposes. Manages the entry and storage of ASC medical records and works collaboratively with i-Health to proactively plan for future growth and expansion associated with medical records. Any and all other duties as assigned. Education and Experience Requirements: High school diploma/GED or equivalent required Bachelors degree preferred. Two years related experience required, ASC experience preferred. Management experience preferred. Essential Requirements: Ability to: Comply with company policies, procedures, practices and business ethics guidelines. Complete job required training. Comply with all applicable laws and regulations, (e.g. HIPAA, Stark, OSHA, employment laws, etc.). Demonstrate prompt and reliable attendance. Work in the surgery center during business hours. Travel independently throughout the surgery center (which may include movement from floor to floor); frequent bending, lifting, standing, stooping or sitting for long periods of time may be required. Frequent lifting and/or moving up to 25 pounds with occasional lifting and moving of a maximum of 50 pounds may be required. Work at an efficient and productive pace, handle interruptions appropriately and meet deadlines. Communicate and interact in a respectful and professional manner. Prioritize workload while being flexible to meet the expectations of the daily operations. Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions. Understand and execute a variety of instructions. Effectively operate equipment and communicate on and operate the phone system. Work independently with minimal supervision. Travel to other work locations, if required.
