Job Title: Office Manager
Job Description
– Back up for answering and directing incoming calls when the receptionist is away
– Vendor and office interface, scheduling, and coordination (security, internet/phone, copiers, cleaning, maintenance, HOA and neighboring tenants, product vendors and library)
– Special event planning (vendor lunches, happy hours, holiday parties)
– Payroll and invoicing – back up support to firm accountant (new project set up, lien releases, special invoice assistance)
– Recurring business office bills related to physical office and firm records (business licenses, personal licenses, service subscriptions)
– Maintain and modify employee records and files (personnel files, phone lists, employee PTO)
– Onboarding new employees (less than 5 a year) (1st day training, benefits set up)
– Administration of employee expense sheets
– Administration of employee time sheets/payroll assistance
– Notary
– Foster firm culture
– Special clerical support to ownership (word processing and document support)
