HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:

Working in a discreet environment handling sensitive and personal information daily

Completing transactional duties with special attention to detail, being organized, and multi-tasking

Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant IV, your day-to-day responsibilities will include:

The Admin Assistant (AA) shall, under Staff direction, provide administrative support services to assist in meeting the mission requirements of customers throughout the Sponsors organization

The AA will manage the workflow of continuously changing priorities, schedules, and action items for the Chief, Deputy Chief, and Executive Chief Adjudicator (ECA) within the Front Office. Based on the changes in office priorities, the AA will have authority to independently schedule/reschedule meetings and ensure that all parties involved are updated

Must be cognitive of the criticality, sensitivity, and confidentiality of the issues they are made aware of during daily interactions

Keep Chief, Deputy Chief, and ECA informed of daily activities and pending actions that may arise, and create daily calendar cards for Front Office personnel

Independently perform standard administrative duties, including, but not limited to, answering telephone calls, receiving visitors, typing, proofreading, and editing memoranda

Manage the Front Office calendars, including the Division conference room, Leave/Training calendar, and interview room calendars

Serve as a focal point for administrative processes and databases

Maintain the SharePoint site for Adjudication Board by coordinating the Final Decision Template with the Expert Adjudicators and recording case decisions

Serve as Timekeeper for biweekly electronic timekeeping

Maintain all contact information for the Division and submit employees for database access

Prepare draft correspondence and create spreadsheets such as Program Management lists, phone lists, and the COOP roster

Produce instructions for submitting EARRs or other database requests and scheduling conference rooms

Order supplies using online databases and inventmy tracking databases

Prepare interview/promotion panel books and other administrative items for Chief, Deputy Chief, and ECA as-needed

Manage logistics for All-Hands meetings, to include scheduling, coordinating audio/visual (NV) requirements, ordering/setting up refreshments, etc

Prepare all travel arrangement and POV vouchers for Chief, and Deputy Chief

Maintain the schedule for two Government-Owned Vehicle (GOV)s (Another division is responsible for car maintenance and record keeping)

Maintain up-to-date AA Standard Operating Procedures (SOP).

WHAT YOULL NEED TO SUCCEED:

The position requires an active TS/SCI with Polygraph clearance

High School Diploma and seven (7) years of relevant experience or equivalent combination of education and experience

Core hours are 9:00am-3:00pm

Proficient Word, Excel, Outlook, PowerPoint

Able to perform duties with minimal supervision and some team interaction

This position is on customer site

The likely salary range for this position is $132,964 – $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
