IT Concepts is seeking a detail-oriented Administrative Assistant to support the IT Concepts Talent Acquisition and Security Team. You will play a crucial role in ensuring the smooth operation of our Corporate Talent Acquisition and Security processes. Your role will be pivotal in preparing meeting minutes and addressing administrative inquiries, all while maintaining a high level of professionalism and efficiency.

Responsibilities:

Managing Multiple schedules, calendars, Outlook shared emails, and multiple Microsoft systems that support all team members.

Coordinating meetings, Interviews, and engaging with all members of the ITCs corporate team and Managers on Service Delivery.

You may also handle basic technical support for our corporate systems with guidance from IT department

Managing Shared email inbox

Monitor and respond to all Help Desk tickets to the Recruiting and Security Team.

Build and input all data for Job Descriptions, Requisitions, and workflows in ATS.

Support admin duties for other TA and Security platforms.

Run weekly, monthly, quarterly, and annual reports for Managers and Directors

Records meeting minutes and prepares written summaries of data when needed.

Responds to and resolves administrative inquiries and questions.

Assist in the preparation of agendas and schedules for meetings.

Performs other customary administrative duties as necessary, including ad-hoc project support.

Assisting with planning and organizing employee appreciation activities.

Assist with document repositories and organization as requested.

Other administrative duties as assigned.

Location: This position will be remote, but willing to travel to Head Quarters for events as needed. (Vienna, VA)

Requirements

At least 3 years of experience in administrative support or office management.

Proven ability to interact effectively with all levels of management.

Excellent communication skills, both written and verbal.

High School diploma required

Strong attention to detail and exceptional organizational skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with travel platforms.

Demonstrated ability to handle confidential information with discretion.

A proactive attitude and a willingness to adapt to changing priorities.

Able to work core hours Monday- Friday: from 9-5pm EST

US Citizen residing in the United States and able to work EST hours.

Preferred Skills:

Bachelors degree is preferred.

Higher level training in Microsoft Office suite, particularly Excel and PowerPoint

Former knowledge or experience supporting Government Contracting companies or customers

Basic IT support experience is a plus—the ability to troubleshoot common tech issues will be beneficial.

Experience with recruiting teams, or hiring processes

Former experience with suitability or clearance processes

Clearance Requirements:

Must be eligible to obtain and maintain a Public Trust clearance.
