Responsibilities The hours for this role are mornings, either 4 hours a day Monday – Friday or 5 hours a day Monday – Thursday The Psychological Testing Services Coordinator directly supports psychological testing procedures, processes, and schedule coordination. Supports the Psychology Training Supervisor psychologist in the coordination and management of psychological services training programs. Support is also provided for psychologists, post-doctoral fellows or other trainees engaged in the provision of psychological testing for PrairieCare patients. Facilitates communication, scheduling, coordination, and other aspects necessary to maintain best practices in psychological testing services across departments, locations, and levels of care. Responsibilities and Accountabilities: Supports administrative needs for psychologists and trainees providing psychological testing services, including coordinating patient scheduling to meet referral needs as much as is possible and other administrative tasks to ensure maximum reimbursement of psychological testing. Coordinates psychological testing referrals to ensure dissemination to psychologist or qualified trainee who will address the referral need. Supports annual processes involved with recruitment, onboarding, retention and completion of psychology based training programs (as relevant). Coordinates psychology trainee schedules, in collaboration with Psychology Training Supervisor, to determine rotation schedules by site and level of care to meet organizational and training needs. Supports gathering and scoring of psychological testing or assessment measures, as appropriate to qualifications, for psychologists and qualified trainees, as requested. Schedules and organizes meetings related to psychological testing services, as requested. Requires a high level of daily text, phone, email and verbal communication, collaboration and coordination with supervisors, managers, directors, psychologists and post-doctoral fellows. Supports creation, revision, and updating of various documents related to psychological testing services and post-doctoral fellowship program including handbooks, competency training manuals, on-boarding paperwork for new staff, group/coverage calendars, and other action items as assigned. Assists the Psychology Training Supervisor, Director of Psychotherapy, Operations Directors, Chief Psychotherapy Officer and other leaders in timely completion of reports by assisting with data collection as requested. Provision of excellent customer service and positive employee engagement throughout all aspects of this role (e.g., answering phones, responding to messages, supporting provider needs). Responsible for accurate and timely filing of medical records, including testing materials, pre-authorizations, Release of Information (ROIs), etc., and transmission of medical records upon request in compliance with HIPAA standards. Acts as a liaison between the patient and third-party payers to promote appropriate treatment for psychiatric illness, as appropriate. Communicates with patients and families/caregivers as needed to keep them involved in psychological testing services. Oriented toward, educated in trauma informed, interculturally responsive functioning from lenses f gender, race, age, religion, and other cultural identifications and differences. Acts as a liaison with PrairieCare Marketing team and represents PrairieCare in a professional manner. Performs various other duties as assigned or as requested. Qualifications Associates degree in a human services field required. Bachelors degree in Social Work, Sociology, Psychology or a closely related human services field preferred. Two years of administrative support and office organization experience is highly preferred. Must have strong proficiency computer skills using Microsoft Office Products including Word, Outlook and Teams. Must have knowledge and experience with Electronic Medical Record Systems. Have knowledge and understanding of psychosocial practices and principles. Well organized and detail oriented. The individual must have the ability to smoothly and rapidly shift between dissimilar tasks. Skills to communicate effectively and efficiently both verbally and in writing.
