About the Ancillary National Accounts Support Specialist Role

We’re looking for a talented administrative assistant who will be responsible for all ancillary administrative support activities. Communicates with all suppliers and operations teams. This position performs a variety of administrative tasks including answering telephone calls, responding to emails, word processing, AP management, creating/maintaining Excel spreadsheets and filing.

Responsibilities and Objectives

Work with various internal teams to create/maintain Excel spreadsheets and other documents.

Act as a liaison between the operators and ancillary teams to coordinate events.

Track down information needed to move projects along in a timely fashion.

Answer emails and direct to the appropriate department.

Provide new property account information to operators and sets up supplier accounts for properties.

Assist operators with national accounts setup processes and training.

Participate in special projects as requested.

Education and Experience

High school diploma is required.

Three or more years of experience in a professional office environment is required.

Knowledge of Salesforce is preferred.

Experience in property management is preferred.

Skills and Requirements

Advanced level knowledge with Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel skills; expert level certification preferred.

Strong interpersonal skills to communicate with all levels of management effectively and sensitively.

Excellent written and verbal communication skills.

Ability to work independently and prioritize effectively.

Able to work in a fast-paced environment with a keen sense of urgency.

Solid organization and time management skills.

Able to complete tasks on deadline.

Able to organize recurring tasks.

Sensitivity to confidential matters is required.

Attention to detail and highly organized.

Scheduling

Typically, Monday through Friday, 8am to 5pm.

Environment

Exposure to environment typically found in an office building.

Possible exposure to short-tempered or aggressive people.
