How you will make an Impact (Job Summary)

The Payroll Administrator is responsible for processing Canadian payroll, maintaining employee records, and ensuring compliance with federal, provincial, and local laws. This role requires strong attention to detail, excellent organizational skills, and a thorough understanding of payroll systems and processes. The ideal candidate must be fluent in both English and French Canadian to effectively communicate with employees and handle payroll-related inquiries. There is the potential for this role to act as backup to US Payroll processors for weekly, bi-weekly and monthly payrolls.

What you can expect in this role (Job Responsibilities)

While each day brings new opportunities at SPX, your core responsibilities will be:

  1. Payroll Processing:
    • Accurately process bi-weekly payrolls
    • Complete bi-weekly payroll audits to ensure data reflected in the payroll systems matches data from the HR system
    • Verify accuracy of employee timesheets, earnings, deductions, garnishments, and benefits
    • Ensure accurate and timely payroll processing and reporting requirements
  2. Compliance:
    • Stay updated with federal, provincial, and local payroll regulations
    • Ensure compliance with legal and regulatory requirements in both Canada and the specific province (e.g., Quebec)
    • Prepare and submit necessary payroll reports and filings
    • Complete necessary ROEs
  3. Reporting:
    • Generate payroll reports for management and auditing purposes
    • Reconcile payroll accounts and resolve discrepancies
    • Assist in year-end processes, including T4 and EHT preparation
  4. Customer Service:
    • Provide exceptional customer service to employees regarding payroll-related inquiries via Zendesk ticketing system
    • Communicate effectively in either English or French Canadian to address employee concerns and questions
    • Liaise with HR and Finance departments to resolve payroll issues or questions
  5. System Management:
    • Utilize payroll software and systems to process payroll
    • Implement improvements to payroll processes and systems
    • Train and support HR and employees on payroll-related software and tools (e.g. Time and Attendance)

What we are looking for (Experience, Knowledge, Skills, Abilities, Education)

We each bring something to the table, and we are looking for someone who has:

Required Experience

  • Fluent in French Canadian and English, both written and spoken
  • Minimum of 3 years of experience in Canadian payroll administration or related field
  • Strong knowledge of Canadian payroll regulations and practices

Preferred Knowledge, Skills, and Abilities

  • Proficient in payroll software (preferably Ceridian Dayforce) and Microsoft Office Suite
  • Excellent attention to detail and organizational skills
  • Ability to handle sensitive information with confidentiality
  • US Payroll experience

Education & Certifications

  • Bachelors degree in Accounting, Finance, Business Administration, or related field preferred or 5 years of relevant work experience

Travel & Working Environment

  • This role may require occasional travel
