General Overview:
The Stewardship Associate plays an important role in strengthening the donor relations program for Sylvester Comprehensive Cancer Center. The Stewardship Associate is responsible for assisting the Director of Stewardship in executing a creative, consistent, donor-centric stewardship and donor relations strategy that appropriately and consistently promotes interaction with and recognition of donors at the major gift level. The incumbent will be an integral part of Sylvester’s development efforts.
Essential Responsibilities:
Under the guidance of the Director of Stewardship, support and execute a comprehensive stewardship program that addresses the unique needs of Sylvester Comprehensive Cancer Center’s highest level donors with personalized multi-channel (print, video, social, web) donor engagement plans including, but not limited to, acknowledgment letters, special impact reports, newsletters, campaign messaging, holiday, and birthday greetings.
Document, update and maintain annual stewardship plan set forth by the Director of Stewardship.
Manage the acknowledgment letter process by drafting and sending out acknowledgement letters for leadership according to policy and procedure guidelines.
Manage the donor birthday acknowledgement program by preparing and sending out all communications and/or gifts required in consultation with gift officers and Director of Sylvester Comprehensive Cancer Center.
Assist in data collection/creation of Qualtrics Surveys to gather information from physicians for impact and endowment reporting purposes.
Document stewardship-related interactions on behalf of leadership in donor database (Blackbaud CRM).
Prepare and maintain spreadsheet reports on stewardship program for gift officers and leadership.
Attend relevant meetings with Director of Stewardship and gift officers to better understand, implement and execute program needs.
Request and organize list-pulls for mailings of pertinent communications pieces.
Assist in ensuring quality control of printed materials and prepare mailings for acknowledgement letters, impact reports, newsletters, annual reports, holiday cards, and other donor-focused communications pieces.
Organize vendor lists, manage and reconcile expenses, prepare and track reimbursements, check requisitions, purchase orders and invoices in Workday for all stewardship communications pieces.
Order donor signage, coordinate installment and maintain lists, to include a current inventory of donor signage across all Sylvester locations as well as available spaces and minimum gift levels for naming opportunities.
Additional Duties:
Utilize Blackbaud CRM and other University systems to update constituent information in accordance with DAR training, policies and procedures. • Assist with scheduling and coordination of photo and video shoots. • Assist in preparation of ad hoc reports and special projects for stewardship and donor communications. • Attend special fundraising events on or off campus as needed for reporting purposes. • Follow University policies and procedures. Attend meetings and appropriate training sessions for Development and Alumni Relations. Qualifications: Bachelor’s degree with a minimum of three years business office experience. Equivalent combination of education and experience will be considered. Must be solution-oriented and able to work independently to successfully complete projects on deadline. Excellent command of the English language, both oral and written with a high level of creativity, attention to detail and superior customer service skills. Proficient in Microsoft Office applications (i.e. Microsoft Word, Excel, and Outlook). Must have initiative mixed with good, sound judgment, and a high level of discretion to handle sensitive information. Must be able to handle multiple projects simultaneously and work in a dynamic team environment across multiple divisions.
