The UCLA Gambling Studies Program at The Semel Institute is seeking to hire a full time Administrative Assistant III. Under direction of the Sr. Administrator of the UCLA Gambling Studies Program, you would be responsible for:
Coordinating the planning, design, implementation, administration, and operation of a statewide multi-modal health care initiative delivering a broad spectrum of evidence-based treatments to California residents.
Implementation and ongoing administration of some 300 Provider Services Contracts
Be the principal liaison with assigned subcontractors and State of California for the development and ongoing long term management of the California Problem Gambling Treatment Support Program.
Working with external public and private agencies in developing specialized projects for the UGSP.
Auditing the various sites under contract – travel required.
Coordination of outreach efforts for the program.
Pay Range: $29.42 – $42.14 hourlyQualifications
Required:
Impeccable writing and editing skills.
Experience managing and working within a fast-paced setting with minimal direction, ability to adapt to changing priorities, to make independent judgments and/or decisions and to discern when action of a higher level is required.
Ability to organize and coordinate multiple tasks, to establish priorities and re-establish priorities as changing circumstances dictate.
Ability to determine and recommend appropriate procedures and systems to accomplish broadly defined goals.
Demonstrated experience in event coordination.
Experience working with people from diverse backgrounds.
Ability to maintain confidentiality about sensitive information and records, to enforce the departments policies on confidentiality, record keeping and release of information.
Excellent written and verbal communication skills; ability to communicate clearly and effectively, verbally and in writing and via email.
Ability to clearly and accurately convey and obtain information, on a one-to-one basis and with small groups.
Ability to work effectively and closely with other members of the research, administrative and clinical team; ability to maintain good working relationships with program staff.
Excellent organizational and problem- solving skills; skilled in keeping accurate and timely records.
Ability to work independently and report to the UGSP Administrative Director and Principle Investigators on a regular basis and in a timely manner.
Ability to perform problem solve and manage demands, assignments and deadlines; ability to track and coordinate multiple projects simultaneously.
Skill in speaking and writing to persons of various social, cultural, economic and educational backgrounds.
Strong working knowledge and proficiency working with Word, Excel, PowerPoint, Outlook, email and Internet browsers and relevant software programs.
Excellent presentation skills.
Ability to apply active listening skills, assess and defuse emotionally charged situations in a calm, tactful and professional manner.
Ability to attend to details, inspect documents and reports for accuracy.
Possess excellent interpersonal and customer service skills.
Strong budgeting and account management skills.
Strong working knowledge of website development software programs and/or database management.
Ability to edit complex research manuscripts; ability to coordinate journal submissions for multiple projects simultaneously.
Experience coordinating survey research.
Working knowledge of IRB forms and processes.
Hands on experience with recruitment methods, online scheduling, and one-one-one interviewing assessments.
Preferred:
Bachelors degree (or higher) from accredited 4-year institution strongly preferred (psychology, English, communications, health sciences).
