Job Summary: Accurately process daily incoming/outgoing mail for all departments of INTRUST Bank. Prepare bank mailings for various departments of the bank by using mail software and hardware. Monitor equipment and mailings for accuracy and resolves any discrepancies. Scan and audit documents; monitor and resolve requests daily. Promotes an environment of teamwork within the department and across the bank. Represents INTRUST Bank in all they do in the community and is focused on the development of new business relationships. Must maintain strict standards of confidentiality and perform duties in a manner supporting INTRUST’s character qualities.
Essential Functions:
• All expectations described in the job description’s essential functions are necessary to be successful in this role, performed with or without a reasonable accommodation.
• Pick up and deliver mail daily from the post office including the opening of approximately 200 lockboxes.
• Sort, process, and deliver interdepartmental and external mail, parcels, and other materials. Research incomplete address information.
• Print daily letters, notices, and special print jobs and manage deadlines. Monitor and resolve document requests daily.
• Operate mailroom production equipment (printers, inserters, postage meter, mail sorter). Performs basic maintenance as needed.
• Handle returned mail following set maintenance procedures.
• Track USPS, FedEx and UPS overnight deliveries using barcode scanner and mail tracking software.
• Receive and organize and store incoming branch work.
• Manage document storage by following retention guidelines.
• Prepare outgoing branch delivery items using shipping software and Brinks mail bags.
• Reconcile vendor invoices.
• Maintain a safe and clean working environment.
• Assist co-workers/other departments when available.
Education and Experience: High school diploma or equivalent. 1 year related experience preferred.
Required Skills and Knowledge: Accurately produce high volume of work in a fast-paced environment. Must multi-task while providing quality service to internal/external customers. Grasps new concepts and processes quickly and effectively. Strong attention to detail and ability to meet tight deadlines. Advanced knowledge of Microsoft applications, i.e., Word, Excel, Outlook, Access, etc.
Required Licenses and/or Certifications: Must have a valid driver’s license.
Physical Demands: Extended period(s) of time viewing personal computer, sitting, standing, and walking. Occasional lifting up to 50 lbs. Must be able to hear and speak clearly over the phone. Must be able to use hands to key information and handle objects. The physical demands necessary for this role should be performed with or without a reasonable accommodation.
Working Conditions: Normal office conditions.
