Overview
The Administrative Support III is responsible for performing a wide variety of complex clerical and administrative tasks for the Director of the Department/Division in addition to skilled interaction with parents, patients and employees. Works with highly confidential information, and under minimal supervision. support provider in clinic and the director of a clinical program in Orthopedics.
Schedule: (full time, non-exempt) Monday-Friday, in-office

Responsibilities
Performs administrative duties for department director/chief. Receives and screens telephone calls; greets visitors; appropriately manages Outlook calendar to schedule appointments, manage meeting invites, vacation and PTO.
Indirect patient care tasks including but not limited to: completing correspondence letters, notes, & forms, monitoring clinic schedules, diagnostic test and surgery scheduling, communicate with insurance to obtain prior authorizations, collate patient education materials, light data entry.
Establishes filing system and maintains compliance according to HIPPA. Data input of research info in RedCap
Assist with planning, research, organizing, analyzing and completes special projects within specific department/division or facility as a whole.
Participates in documentation processes, obtaining, compiling, maintaining and issuing necessary records, reports, data or lists, ensuring accuracy of content and correct distribution.
Prepares and processes documentation for surgical billing
Directs or assists in onboarding new administrative assistant staff. Provides mentoring to less experienced personnel.
Assists other departmental staff as needed.
Performs other related duties as assigned.
Qualifications
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
High school diploma or equivalent with business coursework preferred.
Experience with surgery scheduling preferred and insurance authorization required
One to three years in healthcare field or applicable experience.
Effective communication and interpersonal skills required.
Ability to learn and utilize computer software to perform requested work assignments and projects. (e.g. Microsoft Word, Excel, Outlook)
Ability to work with highly confidential materials.
