Order Entry Specialist

Overview:

We are seeking a detail-oriented and organized Order Entry Specialist to enhance our service operations. This hybrid role involves processing and scheduling service work orders, coordinating with various stakeholders, and ensuring timely order fulfillment. The ideal candidate will demonstrate a commitment to excellence, possess strong organizational skills, and be adaptable to a dynamic work environment.

Key Responsibilities:

Process and schedule new service work orders using the companys CRM system, including preparation of service quotes, orders, and tickets.

Process sales orders and ensure timely shipping of products to meet service schedules.

Interface with field service engineers, third-party technicians, general contractors, and vendors to complete service work orders efficiently.

Review technician service paperwork to confirm accuracy and completion of services rendered.

Communicate with account managers to revise purchase orders and Not-to-Exceed (NTE) limits as necessary.

Update the companys ERP system with details of each device replaced.

Extract data from the companys monitoring systems to ensure accurate follow-up on service work orders.

Manage return labels and RMAs for unused products, and verify vendor invoices for accuracy.

Post new service orders in the company’s order processing system, attach required documents, and process service orders for invoicing. Create and monitor reports as needed.

Additional Skills & Qualifications:

Proficiency in ERP or CRM systems; experience with Microsoft Dynamics is ideal.

Minimum of 2 years of experience of order entry

Proficiency in Microsoft Office Suite.
