Job Title: Accounts Payable Administrator

This position maintains and supports all office functions ensuring facility paper flow and documentation are complete and accurate. This position assists the Regional Office Manager or Regional Human Resources Liaison with day-to-day operations and special projects. The Administrative Support Assistant interfaces with all ULCS staff and associates, corporate associates, Region employees, Clients, and outside vendors.

Pay:

Competitive/Hourly

Schedule : Monday to Thursday -6:00am to 4:00pm (subject to work some Fridays)

Essential Functions & Responsibilities:

Create weekly Time-Material and Unit invoices for our client utilizing multiple templates in excel and other formats. Invoices will be for labor, equipment, materials, and units.

All billing information will be data entered into various software platforms.

Reconciling client payments and open Accounts Receivable Reports.

All other duties as assigned by management. Smartsheet, QuickBooks and Oracle.

Maintaining records in physical or electronic files.

Assist management with weekly production reports (i.e. Supervisor Reports).

Perform secretarial duties for region management team; including but not limited to typing documents, data entry, photocopying, mailing, scanning, and faxing.

Maintain office supply inventory and orders monthly basis.

Answer, direct and make phone calls for the region.

Receives sorts and distributes incoming Mail, Email, FedEx and Fax.

Provides support and assistance to help the facility and personnel function as a team environment.

Complete all other duties assigned by management.

Scan and file paid invoices (expenses report).

Minimum Qualifications:

Must be 18 years-of-age or older.

Must have excellent Microsoft office, Outlook skills, and QuickBooks experience.

Must have solid analytical and problem-solving skills.

Excellent verbal and written communication skills.

Able to pay close attention to details and identify/correct mistakes.

Commitment to teamwork through relationship building, reliability and collaboration.

Capable of performing repetitive tasks. Organizes meetings, appointments, and travel arrangements. Sending reminders on a needed basis.

Project administration – ensures deadlines and requirements are met.

Education & Experience

High School, (GED), or some college.

A minimum of two (2) years’ relevant experience in billing and accounting administration.

2 years of high-volume AP experience preferred.

License & Certifications:

Driver License Required.

Pre-Screen

Due to the inherently dangerous nature of the industry and requirements to work with or around hazardous equipment, employees must have sufficient eyesight to judge distance/coordination of equipment and tools, be able to maintain attention and concentration for extended periods, be able to withstand exposure to all kinds of weather while completing work assignments, be able to wear personal protective equipment as necessary, be able to enter and exit a vehicle numerous times a day, have the endurance necessary to traverse various terrain, be capable of performing job duties throughout a standard 8- or 10-hour day, be able to communicate with others, read, write, and comprehend written/verbal job instructions and information, and communicate and handle conflict professionally.
